UCLA is Hiring an Assistant to the Executive and Faculty Director Near Los Angeles, CA

Under general direction, independently provide administrative and analytical support to the Executive Director and Faculty Director in Center X, within the Graduate School of Education & Information Studies. Assist with coordination of all Center X programs to ensure that critical tasks are completed on time and overall objectives are met. Manage workflow; maintain various computer databases; research and produce a wide variety of academic and administrative documents. Serve as the liaison between the Center X Directors, other faculty, departmental administrators, other University Officials, and outside officials. Manage competing demands to ensure deadlines and other obligations are met. The mission of Center X and the Graduate School of Education and Information Studies as a whole, involves the highest-level planning and scheduling coordination for the Center X Directors among the School and University, and on the local, state, and national levels.

1. Ability to independently analyze data, information, problems, practices, procedures, and to identify relevant factors and options and then implement and monitor solutions with minimal direction.

4. Demonstrated skill in coordination a numerous variety of projects, maintaining a complex and active calendar and adapting quickly and calmly to frequent schedule changes and interruptions.

5. Skill in organizing material and information in a systematic way to optimize efficiency and minimize duplication of efforts.

6. Skill in organizing and prioritizing a heavy workload to meet competing deadlines. Ability to adapt to frequent changes in workload and assignments, as priorities dictate, with competing and fixed deadlines.

7. Skill to independently carry out work assignments with minimal supervision.

8. Ability to identify problems and convey information in a professional and appropriate fashion.

9. Knowledge of University policies and procedures as they relate to accounting, travel, purchasing, facilities, and mail and document services to coordinate and expedite tasks with preparers.

10. Working knowledge of computers and the associated software programs including the most current versions of Word, Excel, and FileMaker Pro.

11. Skill in using standard office equipment including electronic typewriter, photocopy machine, fax machine, and Voicenet telephone system.

12. Writing skills to compose drafts, reports, and edit materials in accordance to Center X program needs.

13. Skill to effectively coordinate and prepare materials for meetings and events.

14. Skill in making and coordinating travel arrangements.

15. Demonstrated organizational skills to manage workflow, encourage excellence in customer service, and establish a harmonious and productive work environment.
