Job Overview

TuSimple’s Human Resources Specialist provides superior tactical and administrative support to the Human Resources department and interacts with a wide range of employees and leaders throughout the Organization.

In this role, the Human Resources Specialist verifies and completes I9s, enters and updates employee information into the system of record, ensures comprehensive onboarding and offboarding of employees, and conducts HR audits. The incumbent is also responsible for researching, keeping up to date, and understanding applicable legislation and best practices.

Responsibilities

  • Reviews start criteria for hires against policies and procedures, prior to start date and ensure all criteria are met prior to commencement of employment. Communicates any necessary delays in start dates with Business HR, Recruitment, and the manager. 
  • Facilitates onboarding and leads New Hire Orientation. Partners with IT and Business Support to ensure appropriate set up is complete for each new hire prior to their first day.
  • Verifies I-9 documentation and completes I-9 forms. Tracks and initiates updates, as necessary.
  • Under guidance and in line with policies and procedures, updates and processes employee hires, changes, and separations in our HRIS system.
  • Oversees meeting/training logistics through the scheduling of all necessary attendees, books meeting rooms and/or providing video conferencing details, prepares agendas and any other required documentation; arranges for beverages and/or meals, prepares meeting rooms, and assists with the clean up after. Takes meeting minutes, identifies items for follow up, and distributes, as necessary. Anticipates conflicts and/or issues and proactively works to resolve.
  • Conducts audits of various HR programs, processes and documents. Support audits lead through other departments. Makes recommendations for any necessary corrective action.
  • Under guidance, plans and coordinates events and off-sites, including staying within budgetary requirements and all logistics.
  • Completes employment/unemployment verifications and requests for separation information.
  • Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc. Refers more complex questions to appropriate senior-level HR staff or management.
  • Ensures the maintenance and accuracy of human resource files, records, and documentation, in accordance with defined policies and procedures. Assists with organizing the HR Shared Drive and HR pages on Confluence.
  • Conducts research and gathers data. Prepares and coordinates presentations, various reports, memos, correspondence, communications, organizational charts, spreadsheets, etc. Updates and maintains web-pages, dashboards and other databases. Makes copies, scans documents, collates documents, and files.
  • Maintains quality control by editing and proofing work for errors and consistency. May review the work of less experienced HR Operations staff.
  • Partners with Talent Acquisition, Organizational Development, and Business HR to facilitate a strong internship program. Assists with internship plans. Conducts check-ins and exit interviews, as assigned.
  • Assists with off-boarding employees including separation paperwork. Conducts exit interviews and highlights findings. Assists with summary reports and compilation of metrics.
  • Maintains the integrity and confidentiality of all human resource files, records, and information.
  • Provides recommendations for various process improvements and efficiencies within the HR Administration team.
  • Help track training participants on an ongoing basis to ensure required training compliance –
  • Make notifications if the employee stays out of compliance for an unacceptably long time.
  • New training configuration, inputting it into Google Classroom, or the LMS when it's deployed, and making sure that it's active and ready for people to access it.
  • Take the lead on scheduling, coordinating, and sending out training communications.
  • Related to all of the above, this person will field employee/manager training and/or LMS questions
  • Light data analysis, compiling/downloading training compliance data and running some basic analyses (using pivot tables and/or graphs, etc.)

Experience & Skills - Required

  • Bachelor’s Degree in Business Administration, Human Resources, Management, Psychology, Communications, or related field preferred.
  • 3-4 years experience in Human Resources or related field.
  • Proven ability to handle confidential information with discretion.
  • Knowledge of employment legislation at the Federal, State, and Local levels.
  • Proven ability to maintain excellent attention to detail and accuracy. Able to review and edit own work and the work of others.
  • Demonstrated adaptability with addressing various completing demands, while providing the highest level of customer service and responsiveness.
  • Ability to respectfully express opinions and support difficult decisions.
  • Ability to exercise good judgment and demonstrate a diplomatic and open-minded approach.
  • Strong time management and organization skills, with the proven ability to juggle and reprioritize based on business demands and priorities. Able to coordinate and support multiple projects concurrently, in a high-volume, fast paced environment.
  • Proven ability to work independently and as part of a team; capable of effectively engaging with highly technical staff.
  • Ability to collaborate with multiple stakeholders; understanding , interpreting, and addressing their needs.
  • Ability to establish and maintain effective working relationships with individuals at various levels within the organization.
  • Strong interpersonal, oral and written communication skills. Capable of listening and obtaining clarification, changing approach or method to best fit the situation. Able to effectively and confidently work with a wide variety of senior leadership, inside and outside of the organization.
