Role Overview and Responsibilities

 

Job Summary

This HR Administrative Assistant provides general administrative assistance to all departments, specifically the HR department. This role will support the HR team in a variety of processes and procedures.

 

Role Overview & Responsibilities

New Hire Onboarding

  • Ensure background check, drug screen, physical, references and electronic forms are completed for all new employees
  • Ensure all new employee documents are saved appropriately
  • Provide daily & bi-weekly onboarding reporting updates throughout the onboarding process
  • Provide Orientation to new Team Members
  • Complete I-9 Forms, verify I-9 documentation, and maintain I-9 files

Talent Operations Support

  • Assist with requested operations data, analyzing and reporting (e.g. headcount, earned hours, etc.)
  • Prepare workspaces for new employees
  • Conduct office introductions and welcome tour
  • Clean out desk/work area after employee separation
  • Create name plates for new employees, remove old ones
  • Create employee badges and maintain badge system
  • Create and maintain employee files and record keeping
  • Manage time and attendance processes and records
  • Maintain the HR databases and process employee transactions in Paycom
  • Maintain trackers and spreadsheets related to HR/Payroll data
  • Conduct exit interviews
  • Audit timekeeping records for compliance with established standards & regulations
  • Promptly troubleshoot and resolve data discrepancies and other payroll issues
  • Maintain company bulletin boards/TV communications
  • Ensure labor law posting compliance
  • Process unemployment paperwork
  • Complete employment verifications
  • Provide administrative support to HR and Benefits teams, including but not limited to record keeping, correspondence, communications, scheduling, and reporting
  • Coordinate and contribute to HR and Benefits/Wellness projects as assigned
  • Other general HR duties as needed

Candidate Sourcing

  • Ensure open jobs in ATS (iCIMS) are posted accurately on all external platforms
  • Provide sourcing support
  • AAP reporting / EEO1 Reporting
  • Any other tasks as directed by manager or a supervisor

Requirements:

  • Associate degree and HR experience OR Bachelor’s degree preferred
  • Manufacturing work experience preferred
  • High School Diploma
  • Paycom experience strongly preferred
  • 1 - 2 years of relevant experience
  • Prior experience in a Recruiting or HR Assistant role preferred

 

Qualifications, Skills and Attributes

Requirements:

  • Associate degree and HR experience OR Bachelor’s degree preferred
  • Manufacturing work experience preferred
  • High School Diploma
  • Paycom experience strongly preferred
  • 1 - 2 years of relevant experience
  • Prior experience in a Recruiting or HR Assistant role preferred
