We are looking for an Office Specialist to join our Richmond, Virginia location.JOB SUMMARY

The Office Specialist assists with the day-to-day flow of accounting information and communications functions of the Branch.

DUTIES AND RESPONSIBILITIES

1. Assist District Manager and District Office Manager with the implementation of dealership accounting policies, procedures and standards. Assists Auditing Accountant in tasks assigned from time to time, including monitoring of branch receipts and deposits and generating daily cash reports. Assists branch departmental managers with administrative support as needed.
2. Summarize and report daily cash receipts received by branch and report to corporate as instructed including daily performance of the following tasks:
  1. Prepare spreadsheet and post all POS sales with form of payment information, including check stubs, deposit slips & checks into Fusion
  2. Maintain DOT files, Co. vehicle records, invoice filing and general office record maintenance.
  3. Perform cash deposit for all currency collected to take to Wells Fargo. Scan daily check deposits and AR payments to send to corporate.
  4. Perform petty cash reconciliation daily and submit to Corporate at the end of every month. Petty Cash reimbursement must be submitted with all backup documentation and petty cash reimbursement form completely filled out.
  5. Back up and assist cashier/receptionist for days off, breaks, and lunch.
  6. Maintain scheduled accounts, assist with monthly closing and corporate accountant request.
3. Supervise and/or perform accounts payable administration, including:
  1. Scan all payables transactions into Google Drive
  2. Prepare MPO’s and check request to be uploaded to Google Drive
  3. Reconcile Purchasing credit card statement and employee expense reports.
  4. Trouble shoot and research AP issues, past dues, non-payments.

4. Generate and maintain all branch personnel records. Coordinate all payroll, benefits administration, and other personnel issues with Human Resources Manager, Personnel Clerk and other branch managers.

5. Answer telephones and be point of contact for branch administrative duties.

6. Monitor Branch office supplies. Order supplies as needed.

7. Work with other department managers to identify the best solution for custodial maintenance.
8. When requested, provide status reports to executive management, with appropriate commentary.
9. Coordinate and cooperate with other branch and staff managers.10. Perform any other duties assigned by the District Manager and District Office Manager.

QUALIFICATIONS

  • Ability to read and comprehend instructions and information.
  • High school diploma or the equivalent.
  • Two years of accounting or related experience, including accounts payable and accounts receivable.
  • Excellent communication, supervisory and organizational skills.
  • Professional personal appearance.
  • Proficient in the use of computer and software technologies, as well as business equipment technologies.
