Indianapolis, IN

Part-time - 24 hours per week 

Position Summary

Trinity Safety Group is looking for a highly organized, detailed oriented Administrative Assistant who enjoys handling multiple tasks and who operates well in situations requiring strict deadlines. The Administrative Coordinator will provide administrative support to ensure efficient operation of the office. Duties of the Administrative Coordinator include providing support to our managers, employees, and clients, assisting in daily office needs, and managing our company’s general administrative activities. The Administrative Coordinator will also be responsible for learning the daily functions of Payroll, Accounting, and Human Resources.

  • Assist Office Manager/Team Managers in Document Control
  • Answers and screens incoming telephone calls and communicates with customers, vendors and departmental personnel via telephone, email, and written correspondence to answer inquiries and provide information
  • Comfortable with technology - will use Outlook, Excel, Word, PowerPoint, and CRM system on a daily basis
  • Train and maintain Trinity Safety Group’s CRM
  • Serve as a liaison between the company’s managed IT partner
  • Keep IT inventory list, request new computers and employee account set ups, request employee offboarding
  • Develop and edit SOP documents
  • Manage training materials, cards, sign in sheets, etc.
  • Coordinate with the management and the staff
  • Assist in the preparation of regularly scheduled reports
  • Look after the requirements of each department
  • Keep a close watch on all the duties being performed by each department
  • Keep a watch on all the office supplies, field supplies, and company property and replenish stock before it runs out
  • Cross train on AR, AP, Payroll and some HR functions
  • Manage Blog content and Social Media Posts
  • Manage company posts in Paylocity

Requirements

 Requirements

  • Minimum 3-5 years of administrative experience
  • Experience in Payroll Processing including reviewing time and resolving discrepancies
  • Proficient in Microsoft Office products
  • Experience using CRM’s or HCM’s and comfortable training personnel on both
  • Ability to maintain a positive attitude when under pressure and working to meet tight deadlines
  • Strong attention to detail as you will be responsible for editing documents prior to releasing to clients
  • Highly organized and manages time well
  • Eager to learn new duties related to other departments
  • Enjoys and is comfortable with contributing to Trinity Safety Groups Social Media and Blog content
