The Admin Coordinator plays a crucial role in supporting the efficient operation of Transblue by providing administrative and coordination assistance across various departments. This position requires strong organizational skills, attention to detail, Excel knowledge, and the ability to multitask effectively. The Admin Coordinator is responsible for managing administrative tasks, coordinating schedules and meetings, and facilitating communication between different teams or departments.
- Provide general administrative support, including managing correspondence, organizing files, handling phone calls, and responding to emails.
- Assist in preparing documents, reports, presentations, and other materials as needed.
- Maintain and update databases, records, and other relevant documentation.
Calendar and Meeting Coordination:
- Manage calendars and schedules for executives or department heads, including arranging meetings, appointments, and conference calls.
- Coordinate meeting logistics, such as reserving meeting rooms, organizing audio/video equipment, and preparing necessary materials.
- Assist in the preparation and distribution of meeting agendas, minutes, and follow-up action items.
- Facilitate internal communication by liaising with various teams or departments to gather information, schedule meetings, and relay essential updates.
- Support project teams by assisting in project planning, estimation, tracking progress, and ensuring timely completion of deliverables.
- Help coordinate project meetings, including scheduling, agenda preparation, and documentation of meeting outcomes.
- Assist in gathering and organizing project-related data, reports, and presentations.
- Collaborate with team members to ensure effective communication and coordination throughout the project lifecycle.
Communication and Correspondence:
- Act as a central point of contact for internal and external stakeholders, maintaining a professional and responsive demeanor.
- Draft and proofread internal and external communications, including memos, letters, emails, and reports.
- Facilitate communication channels between departments, ensuring smooth information flow and timely dissemination of important updates or announcements.
- Identify opportunities for streamlining administrative processes and propose improvements to enhance efficiency and productivity.
- Assist in implementing new procedures or systems to optimize workflow and organization.
- Participate in departmental or cross-functional meetings to contribute ideas and insights for process enhancements.
Qualifications and Skills:
- High school diploma or equivalent; additional certifications or relevant training is a plus.
- Proven experience in administrative support or coordination roles.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in handling administrative tasks.
- Proficient in using office productivity software (e.g., Microsoft Office 365, Google Workspace, and extensive Excel knowledge) and comfortable adapting to new software or tools.
- Outstanding written and verbal communication skills.
- Ability to work independently as well as collaboratively in a team-oriented environment.
- Demonstrated problem-solving skills and a proactive approach to addressing challenges.
- Strong interpersonal skills and the ability to interact with individuals at all levels within the organization.
- Discretion and confidentiality when handling sensitive information.

Pay: $20.00 - $21.75 per hour
