Position Summary:

Project Associates work closely with Project staff and as well as TRG Administrative, Business Development and Finance Team members to support client-facing activities in 5 main categories:

learning event coordination and support:

  • training design and delivery,
  • data collection and analysis,
  • project management,
  • and communications and knowledge management.

Currently, TRG is looking primarily for candidates with experience and an interest in event coordination. While this will be the primary focus of your work, candidates can also expect to work across the other listed support areas as their interest, availability, and skills allow. While Project Associates often support several of these support areas early in their time at TRG, as they gain experience, they generally choose to focus on 1 or 2 of the categories.

Project Associates are skilled at working collaboratively and managing up. They enjoy variety and learning about new subjects. They are organized, detail oriented, and skilled at time management. They take pride in their work and play a key role at the company, serving as conduits to share the knowledge and tools they’ve gained across the client systems they support.

The Project Associate should be based in the D.C. area. TRG employees can work from home or our offices in Arlington, VA and will also be expected to occasionally come to the office, client spaces, or event venues as client needs require.

Primary Role and Responsibilities:

Learning Event Coordination and Support

  • Support client teams to plan & schedule in-person, hybrid, and virtual meetings, retreats, conferences, workshops, etc
  • Coordinate event logistics including venue, supplies, catering, A/V, room set up and tear down, etc
  • Develop event materials (handouts, PPTs, workbooks, Google suite materials, Jamboards, polls, etc.) applying appropriate branding guidelines
  • Support the design and production of virtual events using tools like Zoom, Adobe Connect, Google Meet, Go to Meeting, and other platforms and advise on the technological capacity and tools appropriate for each event

Training Design and Delivery

  • Coordinate training development activities (e.g. capture and share meeting decisions and action items, maintain project plans, monitor timelines, manage approval processes)
  • Learn new subject matter areas to help inform the substance and shape of the training
  • Support the development of the macro and micro design of trainings
  • Develop materials to meet training objectives including runs of show, workbooks, handouts, presentations, digital engagement tools, facilitation guides, and event synthesis documents
  • Produce synchronous and asynchronous trainings and advise on the technological capacity and tools appropriate for them

Data Collection and Analysis

  • Take notes to capture event learnings and action items
  • Help conceptualize, plan, & schedule/send interviews, focus groups, and surveys
  • Capture and report outcomes of qualitative and quantitative organizational assessments; learning needs assessments; pre-retreat workshop/retreat interviews, focus groups, surveys; etc
  • Develop draft documents such as summary notes, reports, evaluation summaries, and theme analyses

Project Management

  • Work with TRG operations staff to process consultant and vendor invoices
  • Review client invoices
  • Update budget and LoE trackers

Communications and Knowledge Management

  • Support the management of websites and other outreach channels such as social media and email
  • Author talking points, brochures, press kits, fact sheets, feature stories, blogs, background statements, social media toolkits, etc
  • Develop and apply branding guidelines
  • Measure and report on the performance of digital campaigns and platforms

General

  • Demonstrate willingness and flexibility in learning new virtual platforms
  • Demonstrate qualities and values of employee ownership by providing the highest level of customer service to the organization and clients, including participating in staff meetings, annual retreats, and other TRG events, committees, and workgroups
  • Other duties as required

Qualifications, Abilities, and Education Requirements:

  • Bachelor’s degree with 2-4 years of experience; or a Master's degree with 1-2 years of experience.
  • Demonstrated track record of success supporting small to mid-sized project teams in a collaborative and fast- paced environment.
  • Excellent writing and communication skills, including the ability to clearly articulate complex issues and structure clear, concise written documents.
  • Strong problem-solving skills and the ability to use discretion and make decisions independently.
  • Ability to work effectively on cross-cultural teams and manage clients from different regions of the world.
  • Excellent attention to detail, effective organizational and time management skills.
  • Possesses a high level of self-motivation, creativity, and eagerness to learn.
  • Able to work some early mornings or late evenings.
  • Experience with virtual webinar platforms such as Zoom, WebEx, GoToMeeting, Adobe Connect, etc. as well as facility with Microsoft Excel, Word, and PowerPoint.
  • Intermediate to advanced experience using Microsoft Office Products (including Word, Excel and PPT) and Google apps (including Drive, Docs, Sheets, Slides).

Preferred Skills:

  • Prior experience working with USAID or on USAID-funded contracts or prior experience working with the World Bank Group.
  • French or Spanish language fluency.
  • Some experience with survey tools such as Qualtrics and SurveyMonkey.
  • Some experience with graphic or multimedia design.
  • Some experience in event management and planning.
