Topaz Lighting Corp is Hiring a Credit Specialist Near Holtsville, NY

Position Overview:
Responsible for the day-to-day accounts receivable process, collections of outstanding accounts receivable dollars and reducing accounts receivable delinquency in a fast-paced goal-oriented department. Monitor and maintain assigned accounts by, but not limited to, collections calls, customer reconciliations, adjustments, and processing of credit memos according to the established policies and procedures.
Essential Job Functions:
• Process and post all receivables daily to the appropriate customer, with the expectation that posting occur the same day or next day.
• Utilize software programs (Microsoft Office) to help perform duties and responsibilities.
• Process, transmit and run credit card transactions.
• Follow established procedures for processing and posting receipts.
• Generates and reviews AR aging reports and identify critical issues.
• High volume collection calling to assigned customers in a professional manner.
• Document results of all types of correspondence.
• Assist with posting of CED checks.
• Put CES checks into V-look up and save to monthly file.
• Research and resolve payment discrepancies and applies unallocated receipts.
• Monitor customer account details for non-payment, delayed payments or other irregularities and discuss them with Supervisor.
• Carry out collection and reporting activities according to specific deadlines.
• Provide timely follow-up on payments arrangements.
• Review and monitor assigned accounts and all applicable collection reports.
• Investigate and resolve customer queries, utilizing e-mail, fax, or mail to provide customer with any documents needed.
• Verify deductions and credit memos are being done in accordance to established policies and procedures.
• Process credit memo’s, adjustments and debit memo’s ensuring accuracy.
• Reconcile deductions to credit memo’s and adjustments.
• Provide excellent & considerate customer service to both customers and sales.
• Participate in team planning meetings.
• Meet defined department goals and activity metrics by meeting with Supervisor regularly.
• Organizes and maintains retention files.
• Attend all applicable training workshops to remain current on company policies and procedures.
• File monthly credits and paperwork.
• Mail checks received in the office over to the lock box and contact customers to notify of the address change.
• Shredding of department paperwork.
• Perform other duties as requested.
Required Skills/ Qualifications:
• Operate office equipment including personal computer, copier, fax machine and 10 key calculators.
• Microsoft Excel, Outlook, Word experience desired
• Good mathematical background
• Excellent communication, both verbal and written, problem solving & analytical skills
• Must have attention to detail, goal oriented and an eye for accuracy.
• Ability to work independently and to adapt to a fast-paced environment.
• Creative, self disciplined and capable of identifying and completing critical tasks independently and with a sense of urgency.
• Ability to organize, multi-task, prioritize and work efficiently.
• Ability to demonstrate good common sense and sound judgment.
• Ability to anticipate work needs and follow through with minimum direction.
• This job requires access to confidential and sensitive information, requiring ongoing discretion and secure information management.
Education/ Experience Requirements:
High school diploma or equivalent/some college preferred
2-4 years accounts receivable and general accounting experience.
College degree in appropriate discipline or equivalent experience, or a combination of academic study and experience
Required Competencies:
Physical/Mental Demands:
Requires the ability to hear and speak clearly.
Primarily a sedentary position, sitting much of the day with an occasional need to walk, bend, twist and carry 5-10lbs.
Majority of work conducted primarily with fingers rather than with the whole hand or arm as in handling.
Requires the ability to answer telephone calls, transfer calls and work on the computer.
