POSITION SUMMARY

This position is responsible for compliance with state and federal regulations including Drug Enforcement Agency and State Board of Pharmacy. This position will also serve in a staff (advisory) capacity for the process within the distribution center, controlled substance cage and vault. This role will report directly to the Chief Operating Officer.

Essential Functions Statements

· Establish, document and cross train on all operational processes and procedures in compliance with state and federal guidelines regarding the receipt, storage, and distribution of pharmaceuticals.

· Recommend and implement new and improved policies and procedures as changes occur within state and federal agencies and communicate any change within the organization to the appropriate associates.

· Monitor DEA website, state websites, and newsletters for license revocations and disciplinary actions for customers and suppliers.

· Take an active role in HDMA conference calls to stay updated on industry changes and best practices.

· Review orders which may be flagged as suspicious or unusual.

· Review and analyze usages that are submitted by customers as a guide for due diligence 

· Report to DEA and state boards any suspicious order or internal review that is conducted by the Compliance Committee which reveals that possible diversion may be occurring.

· Maintain Top Rx, LLC licensure within all states that the company currently distributes.

· Maintain Top Rx, LLC DEA registration.

· Maintain VAWD accreditation.

· Monitor and manage SOMS.

· Oversee theft and loss reports to DEA, state boards, and FedEx security for controlled substances CII-V.

· Create and oversee processes and procedures within the vault and cage.

· Works with the Distribution Center Managers to reconcile inventory discrepancies within the vault and cage.

· Review customer licensing and questionnaires.

· Oversee pedigree authentications and paper pedigree outside of normal distribution.

· Work with the IT department to oversee pedigree program and ARCOS reporting.

· Maintain a current list of all DC associates and their access within the Distribution Center.

· Write DEA 222 forms to our suppliers based on purchase orders created by the Procurement Department.

· Order Top Rx DEA 222 forms using the DEA diversion website.

· Process audit reports and purchase histories for Top Rx customer base as required by the customer and/or outside agencies.

· Review monthly DEA retired list against customer base and update customer’s files as necessary.

· Create and submit monthly reporting as a federal, state and Top Rx requirement.

· Member of the Top Rx Compliance Committee.

· Maintain compliance documents on the intranet and participate in training of the sales department.

· Other duties as required.

Supervisory Responsibilities:

Manages Compliance Supervisor, Compliance Coordinator and Compliance Clerks.

Skills and Abilities

Education: Bachelor’s Degree; higher education a plus 

Experience: 5 years management experience in pharmaceutical or related industry

3 years as a member of the US DOJ DEA tactical diversion squad or equivalent knowledge. 

Proven track record of maintaining accurate physical inventories of project

Possess excellent verbal and written communication skills

Ability to handle multi-tasking responsibilities

Computer Skills: Must have a strong working knowledge of the Microsoft Office Suite of products with specific knowledge of Excel, Word and Outlook. In addition, must be able to work fluidly with the AS400 and the company operating software and systems to function effectively in this position.

Certifications 

& Licenses: Must be able to achieve the status of Certified Designated Representative in California within one year of tenure in the position and Florida within two years of tenure in the position.
