THIRA Health Job Description

Position: Compliance Specialist – Quality Assurance Department: Administration
Reports To: Director of Operations

Senior Compliance Coordinator (when applicable) Status: Exempt

Job Summary:

Responsible for review and oversight of clinical documentation, chart quality and consistency follow through of documentation and chart content expectations.
Responsible for oversight and management of patient-facing documents, maintaining current content and tracking program changes to ensure documents are congruent with program details and expectations of patients and families/support persons. Support maintenance of company-wide policies & procedures in accordance with all regulatory and accrediting agencies as well when business needs/services evolve.

Essential Job Duties:

  • Conduct daily review of group notes, ensuring quality of documentation and completeness of clinical record. Follow up with relevant parties on incomplete documentation.
  • Close notes when complete. Ensure notes are completed and closed according to THIRA protocols for documentation timelines.
  • Conduct weekly chart audits and maintain record of audit findings. Coordinate across departments to resolve missing documentation or items in chart.
  • Conduct weekly documentation reviews of patient-facing teams. Coordinate across departments to resolve missing documentation.
  • Perform regular chart reviews of each Primary Therapist at THIRA; provide feedback to support therapists in understanding and adhering to documentation requirements and ultimately developing the ability to maintain documentation compliance with little oversight.
  • Coordinate with Senior Compliance Coordinator (as applicable) and OPI Manager on review findings and trends indicating follow up and training needs for patient-facing teams.
  • Support with interpretation of, and company-wide adherence to, standards and regulations including but not limited to: DOH (Department of Health), DSHS (Department of Social and Health Services), HSQA (Health Systems Quality Assurance), HIPAA (Health Insurance Portability and Accountability Act), WAC (Washington Administrative Code), Joint Commission, RCW (Revised Code of Washington), federal and WA State law, etc.
  • Support with interpretation and implementation of THIRA’s Policies and Procedures (P&Ps). Collaborate with Senior Compliance Coordinator (as applicable), OPI Manager, and Leadership Team to review and update current P&Ps, and develop new P&Ps as needed.
  • Support with preparation for all required external audits, surveys and/or reviews.
  • Support with coordination of the compliance aspects of all new clinical programs and services at development of Policies & Procedures, and creation of patient-facing materials.

  • Support with response to patient complaints and grievances as needed.

  • Support with collection and review of proper documentation for patient Incident Reports. Coordinate with Senior Compliance Coordinator (as applicable) and OPI Manager on follow-up.
  • Support facilitation of Quarterly Compliance Meetings.
  • Support the training and development of clinical staff in their understanding of THIRA P&Ps, and GENERAL RESPONSIBILITIES
  • EMR/documentation skills. Support new hire orientation and coordinate supplemental expanded trainings as needed.
  • Attend and actively participate in all required THIRA meetings and trainings.
  • Develop, document and maintain role-specific standard operating procedures.
  • Respond to emergency patient situations defer to clinicians and contact appropriate help (911)
  • when necessary.
  • Adhere and maintain HIPAA rules & guidelines as well as THIRA’s current Policies & Procedures.
  • All other coverage, duties and special projects as assigned. Minimum Qualifications:

  • Requires Bachelor’s degree in law, psychology, business, or related field. Master’s degree preferred. Current Washington State licensure in healthcare related field preferred.
  • Two or more (2 ) years prior experience in healthcare preferred. Prior experience in healthcare compliance administration highly preferred.
  • Knowledge of laws and regulations that apply to mental healthcare, including HIPAA, DOH (Department of Health), DSHS (Department of Social and Health Services), HSQA (Health Systems Quality Assurance), WACs (Washington Administrative Code), RCWs (Revised Code of Washington) preferred.
  • Experience reviewing documentation and auditing clinical records preferred.
  • Working experience with mental healthcare Policies & Procedures such as developing,
  • implementing, and assessing preferred.
  • Familiarity and/or direct experience with Joint Commission standards, processes, preferred.
  • Aptitude to learn Electronic Medical Records systems quickly and thoroughly required.
  • Experience and literacy with medical practice software, EMR, preferred.
  • Experience or familiarity with MicroMD PM and EMR applications highly preferred.
  • Strong organizational skills and attention to detail.
  • Strong work ethic and ability to exercise discretion and judgement with sensitive and
  • confidential matters.
  • Strong verbal and written English communication skills.
  • Demonstrates exceptional follow-through on assigned tasks.
  • Capable of working effectively and calmly in a fast-paced environment while maintaining focus
