About the Role

We are seeking a motivated Proposal Specialist experience in proposal development and RFI/RFP responses, preferably in public sector. This role reports to the Sr. Proposal Manager and will be responsible for monitoring bid sites, finding RFPs, managing the RFPs/RFIs responses and response teams, keeping the response team on track, content storage, and creating a smooth cross-functional proposal process. Additional responsibilities could include assisting with creating demo sites, creating sales/marketing collateral, assisting with sales operations, and/or business development activities, depending on the individual and their desired career path.


Responsibilities

  • Proposal Development: Lead and own the end-to-end process of developing proposals, including researching client needs, gathering information from internal stakeholders and coordinating the creation of compelling and persuasive proposals
  • Project Management: Develop and maintain a proposal schedule, ensuring that all contributors meet deadlines, and the final proposal is submitted in a timely manner
  • Conducting bid/no-bid calls and managing the response team to ensure timely response
  • Collaboration: Collaborate with cross-functional teams, such as sales, marketing, subject matter experts and executives to gather relevant information, clarify requirements and ensure proposal content is accurate and aligned with the organization's capabilities
  • Work closely with a Proposal Writer and sales team to create exceptional winning responses, coordinating final reviews and submitting the bid response
  • Content Management: Maintain a library of up-to-date proposal templates, boilerplate content and graphics to expedite the proposal development process and maintain consistency in messaging
  • Proposal Strategy: Participate in strategy discussions and proposal kickoff meetings, offering insights and recommendations to improve the proposal’s overall effectiveness
  • Quality Assurance: Conduct thorough reviews and edits of proposal content to ensure accuracy, consistency and compliance with client requirements and proposal guidelines
  • Competitive Analysis: Research and analyze competitors’ proposals and industry trends to identify unique selling points and differentiate the organization’s proposals
  • Post-Proposal Activities: Coordinate post-proposal debriefings, analyze wins and losses, identify areas for improvement, and update proposal templates and content accordingly
  • Ensure CRM is up to date of RFP tracking
  • Understand gaps in our existing proposal content and what is needed for current RFP responses
  • Assist with Statement of Work creation
  • Industry Knowledge: Stay updated on industry best practices, proposal development trends and emerging technologies to enhance proposal quality
  • Work closely with the Sr. Proposal Manager for other RFP initiatives


Qualifications

  • At least 2-3 years’ experience in managing and responding to RFIs/RFPs, preferably in the public sector
  • APMP certification preferred
  • Experience in registering, managing, and monitoring state/local government procurement sites
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
  • Familiarity with PandaDoc or Loopio
  • Enjoys working with sales teams and providing support
  • Capable of handling multiple projects simultaneously
  • Superior organizational and time management skills
  • Experience working in a fast-paced environment
  • Able to pivot (if necessary) and navigate change gracefully
  • Capable of building cross-functional relationships
  • Able to work in a team environment, as well as independently
  • Efficient in completing tasks and highly detailed oriented.
  • Resourceful, proactive, and kind
  • Desire to learn and grow
