The Salvation Army Eastern Territory is Hiring a Program Assistant Near Hartford, CT

Overview

Location: Greater Harford Area Services & Hartford Citadel (Hartford, CT)

Status: Exempt, Full-time

Hours Per Week: 40 minimally

Schedule: Tues & Thurs, 11:00 am – 8:00 pm; Wed & Fr, 8:00 am – 4:00 pm; & Sun, 8:00 am – 2:00 pm; occasional Saturday, Thanksgiving morning, and Christmas morning

Scope & Purpose of Position: Responsible for providing direct support to the supervisors with the operation of local Corps’ ministries, including Sunday worship services, Sunday school, youth programs, adult programs, Bible studies, shelter devotions, youth program devotions, evangelistic outreach initiatives, transportation of program participants, small group meetings, divisional events, etc.

Responsibilities

Administrative Support

  • Maintain efficient office procedures, including maintaining hard copy and electronic copy files.
  • Send correspondence and make phone calls on behalf of the supervisors regarding matters related to Sunday services, Corps’ youth community program, music programs, emergency disaster services, summer overnight camp, women’s and men’s clubs, and special events.
  • Order and pick up materials as needed.
  • Provide direct supervision of Corps’ program volunteers.
  • Assist the Executive Assistant with clerical support as directed.
  • Compile monthly statistical reports for all Corps’ programs.
  • Prepare fliers, postcards, presentations, short videos, printed materials, and visual displays for worship, Sunday school, Vacation Bible School, Camp CONNRI, divisional events, evangelistic outreach endeavors, Christmas applicants, and shelter residents.
  • Prepare various bulletin boards and table displays as directed.
  • Update the website and post social media messages as directed. Coordinate website updates with the Divisional Public Relations office.
  • Organize visitation to program participants.
  • Represent the supervisors at community meetings as directed.
  • Assist with recruiting, training, and scheduling emergency disaster service volunteers. Respond to emergencies as able.
  • Assist Corps Officers with the organization of program areas and special projects.
  • Lock vehicles and building doors when not in use.

Sunday Services Coordination

  • Assist with planning, preparing, and setting up special materials for Sunday services.
  • Set up computer and sound systems and assist AV volunteers as needed. Review PowerPoint presentations.
  • Make sure the Chapel is set for the service. Unlock and lock the building and classrooms as required.
  • Conduct devotions at the Marshall House Family Shelter and promote Sunday school & worship services.
  • Recruit Sunday school opening leaders and teachers, nursery teachers, and Junior Church helpers in consultation with Corps Officers.
  • Prepare the schedule for Sunday school, the nursery, and Junior Church, as well as provide materials and reminders. Provide coverage as needed.
  • Make sure leaders and greeters are present and secure replacements as needed.
  • Take note of newcomers and absentees and send a letter on behalf of the Corps Officers.
  • Assist newcomers with finding their Sunday school classes.
  • Recruit and coordinate college student fellowships.
  • Coordinate weekly neighborhood feeding ministry, recruit and schedule volunteers, order food, ensure the mobile kitchen is prepared and cleaned, and serve as the onsite coordinator.

Special Events/Seasonal Activities

  • Coordinate transportation of Sunday participants, Tuesday’s music school participants, Thursday’s women’s group, Thursday’s community youth participants, and special outings.
  • Provide necessary direct transportation support and coordinate vehicle usage with the Executive Assistant.
  • Recruit, schedule, and train volunteers to serve in the following programs: Sunbeams, Girls Guards, Boys Adventure Corps, and emergency disaster services.
  • Register campers for Camp CONNRI, communicate arrangements with parents, coordinate transportation to and from camp, and work with the Executive Assistant and the Parents Second Time Around Coordinator.
  • Prepare display and share Corps’ programming materials with Christmas clients and Vacation Bible School participants.
  • Provide support with the setup before and during the Thanksgiving Holiday Meal Program. This requires working on Thanksgiving until approximately noon and may include directing volunteers.
  • Coordinate volunteers for Vacation Bible School and setup and take down the neighborhood promotion.
  • Provide data entry for Angel Tree applicants, assist with toy/gift purchases as needed, and assist with sorting, packing, and arranging gifts as required.
  • Provide support with the setup before and during the Christmas Holiday Meal Program. This will require working on Christmas until approximately noon and may include directing volunteers.
  • Assist with hiring employees, processing paperwork, and scheduling as needed for the Kettle Campaign.

Community Relations and Development

  • Assist with the planning, set up, clean up, and implementation of various community relations events including, but not limited to, the Annual Appreciation Luncheon, Holiday Store/Kettle Kick-Off, Kettle Campaign, Angel Tree, LemonAiD Kick-Off and Finale, CT Home Show, etc.
  • Provide tours for donors and prospective donors as requested.
  • Deliver Valentine’s gifts and cards to major donors as requested.
  • Assist with Advisory Board meetings.
  • Provide other duties for the efficient functioning of The Salvation Army.
  • Serve as a positive and professional representative of The Salvation Army.

Qualifications

  • Must embrace, support, and reflect well on The Salvation Army’s mission and values. Will respect and promote the interests of The Salvation Army.
  • Strong personal Christian values and high moral character is required.
  • Previous ministry experience (employment or volunteer) required.
  • Creative program abilities.
  • Bachelor’s degree and a minimum of two years of experience working with youth are strongly preferred.
  • Must maintain a professional appearance.
  • Proficiency in Microsoft Office.
  • Basic graphic design skills with the ability to produce flyers, brochures, and postcards.
  • Highly organized and able to handle multiple tasks in a fast-paced environment.
  • Sterling interpersonal skills, apply tact and diplomacy, friendly, and works well with all ages.
  • Humble spirit and ability to work well as a team.
  • Flexibility and strong work ethic. Must be able to work Sundays, some evenings, an occasional Saturday, Thanksgiving morning, and Christmas morning.
  • Strong written and verbal communication skills.
  • A positive, contagious “can-do” attitude.
  • Demonstrate discretion, integrity, and confidentiality in dealing with all matters.
  • Must complete the KeepSAfe training and other required trainings upon hire.
  • Self-motivated and dependable.
  • Strong time-management skills with the ability to organize.
  • Valid driver’s license is required. The license must be free of restriction by both the granting state and Chesterfield Insurance. Ability to drive a 12-passenger van.
  • Adhere to guidelines for staff responsibilities as found in The Salvation Army’s Employee Manuals.
