GRELEN’S DIRECTOR OF EVENTS/PROPERTIES: JOB DESCRIPTION & EXPECTATIONS
We are seeking a highly skilled and experienced Director of Events & Properties to join our team at The Market at Grelen. In this role, you will be responsible for overseeing and coordinating all aspects of our events and property management division, which includes The Market at Grelen, Spotswood Lodge, Boxwood Villa & The
Depot. It will involve team management, sales, customer service, operations, marketing, administration, fiscal/strategic management, and strategic planning. You will report to the Founder & CEO, Leslie Gregg.
● Provide leadership and guidance to the Grelen Team members working in the Events & Property
● Foster a positive and productive work environment to maximize team performance.
Event & Property Sales:
● Proactively generate and respond to inquiries regarding weddings, events, and lodging across our four properties.
● Manage the entire sales process, from initial inquiry to post-booking, ensuring a seamless experience for our clients.
● Build and maintain strong relationships with clients, ensuring their needs are met and expectations exceeded throughout their experience with us.
● Oversee and execute all special events, including weddings, rehearsal dinners, luncheons, workshops, corporate retreats, non-profit events, and festivals held at our four properties.
● Act as the venue manager during events, coordinating in-house catering and ensuring smooth operations.
● Oversee property and tent maintenance, ensuring they are in excellent condition for events.
● Collaborate with venue vendors to ensure a cohesive and successful event execution.
Marketing & Administration:
● Manage event and property listings on platforms such as Airbnb, VRBO, Carats & Cake, and others.
● Maintain and update websites and social media channels to effectively market our venue.
● Develop wedding and event packages to attract clients.
● Prepare and administer proposals, contracts, and BEOs (Banquet Event Orders).
● Review professional photo galleries and submit them for publication.
● Handle advertising requests and cultivate relationships with regional planners and photographers for collaborative photo shoots.
● Set and achieve annual sales goals, closely monitoring projections and adjusting strategies as needed.
● Handle all contract and billing processes efficiently and accurately.
● Maintain comprehensive records to effectively monitor the events and property division's performance.
● Think strategically to identify and solve problems, adapting to market changes and emerging trends.
● Stay informed about industry developments and implement innovative strategies to maintain our competitive edge.
● Previous experience in hospitality and customer service roles, preferably in a venue management capacity.
● Strong organizational skills and attention to detail to effectively coordinate multiple events and tasks.
● Excellent written and oral communication skills, with the ability to engage and interact with diverse stakeholders.
● Creative mindset to develop unique event experiences and marketing strategies.
● Proven track record in strategic planning and problem-solving.
● Demonstrated professionalism and ability to lead and motivate a team.
● Proficiency in event and property management software/tools is a plus.
● Flexibility to work weekends and evenings, as required by event schedules.
● Knowledge of Tripleseat, Wix, Social Media, Airbnb, VRBO, Dropbox, & Google Shared Drive a big plus.
