The King Center is Hiring an Executive Administrative Assistant Near Atlanta, GA

Description

The King Center is currently seeking a seasoned professional for the role of Administrative Assistant (AA) to the CEO. This position will provide full and diversified project management and office administrative support. The AA is responsible for proactively creating systems to efficiently manage the department's workload and the CEO’s calendar. This self-starter will use his or her extensive experience and interpersonal skills to collaborate with all levels of the organization. The AA must exemplify the highest standard of professionalism and have the ability to represent the CEO as the first point of contact with Heads of State, Government Officials, Corporate Executives, and other high-profile individuals. This individual must have a strong passion for social justice as well as a foundational knowledge of Dr. Martin Luther King’s teaching on nonviolence, Coretta Scott King, and the Civil Rights Movement.

Duties and Responsibilities

· Provide general administrative and technical support: Manage technology, scheduling, and planning of office management needs.

· In a courteous and timely manner, assess and categorize the level of importance of incoming phone calls, emails and mail to determine which of those should be escalated to Senior Director(s) or Director(s). (i.e. screening calls, monitoring emails, checking voicemail, etc.)

· Respond to phone calls, emails and mail and research additional information as needed.

· Make travel/transportation arrangements, assist appropriate program staff with compilation of periodic department reports for CEO and create expense reports.

· Provide administrative and technical support to entire department as needed.

· Plan meetings for Executive Office: Organize meeting logistics and travel. Coordinate agenda and take minutes for meetings and conference calls. Assist with meeting coordination as needed (i.e. scheduling, fulfilling technology/material needs, catering)

· Proactively assist with projects and special assignments and create systems to effectively manage workflow including writing letters and reviewing speeches, editing business documents and resources.

· Be flexible to take on last minute projects as needed; Create systems to manage deadlines and feedback.

· Collaborate with internal and

external customers:

Positively represent the Executive Office’s when communicating with all levels of the organization, and with external audiences including Heads of State, Government Officials, Social Influencers, Corporate and Organizational Executives and celebrities.

· Effectively communicate with external and internal relations with discretion and confidentiality.

· Coordinates and manage CEO’s calendar in collaboration with Special Assistant to CEO.

· Garner trust and respect for department in order to accomplish goals through superior customer service.

· Works in collaboration with CEO or designee to prepare packages and type agendas for meetings.

· Takes initiative to understand Dr. King’s teachings and his nonviolent philosophy and methodology.

Requirements

· Associate's Degree or equivalent work experience; Bachelor's degree preferred.

· Minimum 5 years in an executive administrative assistant or senior-level administrative experience

· Proficiency with MS Office Word, Excel, Outlook and PowerPoint.

· Outstanding people skills and high emotional intelligence in order to proactively anticipate needs, and interact with all levels of the organization and external customers.

· Ability to be flexible, collaborative, and efficiently multi-task in a fast-paced environment.

· Strong organizational skills and extremely high attention to detail.

· Ability to maintain confidentiality of sensitive issues, and be a problem solver.

· Excellent written and verbal communications skills.

· Strong organizational and time management skills

· Foundational knowledge base on Dr. Martin Luther King’s teaching on nonviolence and the Civil Rights Movement.

· Willingness and ability to work some evenings/weekends and travel as needed.
