The Property
The Keystone Inn Bed and Breakfast is located in Gettysburg, PA. The property was built in 1913, during the 50-year anniversary of the battle, and is located just 5 blocks from the center of town. Large porches surround the entrance with off-street parking available.
The inn provides overnight lodging with 6 rooms and 2 suites providing lodging for 16-18 guests. All rooms have private baths, individual heating and air, and either king or queen beds. Additional guests may be accommodated in the suites which have separate sitting rooms with daybeds. The daily room rate includes a full breakfast and overnight lodging based on double occupancy. Wireless internet is provided in all areas of the property.
In addition, the Inn has a Carriage House which is a detached meeting space available for rent or use as part of groups that includes a kitchenette, half bath, and flexible meeting/living space.
Position Summary:
The working Inn Manager lives on the property (housing, utilities and internet included) and performs every aspect of the day to day operation of the inn business. The Inn Manager will operate the inn under the guidelines of the owners and will implement agreed-upon policies and procedures to promote the property to the community and its guests.
The Inn Manager must be highly service-oriented, have excellent customer relations skills, exemplary communication skills, both verbal and written, have excellent organizational skills and attention to detail, and be “a team player”. He/She must also understand and be able to use technology and social media. It is essential the candidate embraces the culture of Gettysburg, its history, and the significance of the battles as part of the inn’s core values.
The Inn Manager must be self-motivated and proactive, able to create exciting experiences for guests and visitors. He/She must be flexible, and able to adapt to a changing schedule. Honesty and integrity are essential. Professional appearance is required at all times when guests are on the property.
Primary Duties and Responsibilities:
- Provide exemplary customer service to all guests and visitors.
- Respond as quickly as possible to all guest inquiries for overnight accommodations, encouraging guests to make reservations.
- Manage property daily operations including light general cleaning, guest room cleaning, laundry, grounds work, and seasonal design projects.
- Create, prepare, and present fresh, local, seasonal menu options for breakfast, and personalized celebrations hosted on-site taking into account the personal dietary restrictions and preferences of guests.
- Order all food and general housekeeping supplies, managing costs and inventory.
- Manage and train any required staff members necessary based on a weekly schedule.
- Maintain a calendar of events and property management system, preparing accurate forecasts for sales and marketing and food and beverage.
- Identify and coordinate maintenance, repairs, and special projects as requested by owners.
- Gather, record, and submit as instructed all financial data related to income.
- Understand and work toward achieving all business objectives created by the owners and reviewed on a monthly basis.
- Attend and participate in local tourism, chamber, and industry events to build relationships and promote the property.
- Assume the role of Inn spokesperson in the absence of the owners and in all emergencies.
- Other duties may arise from time to time and as may be assigned to the inn manager.
- Comply with all Pennsylvania Liquor Control Board rules and regulations as they might apply to this property.
Marketing
All branding, marketing, and public relations initiatives will be created and initiated by the owners with daily and weekly participation by the Inn Manager.
Accounting
Owners will manage payroll, and process payables and receivables. The Inn Manager will be responsible for gathering, organizing, and forwarding necessary documentation in either digital or written format as directed by the owners.
