Full Job Description
Hearing Assessment Center is looking for a self-motivated, reliable, out-going individual to join our team. The Front Office Staff (FOS) is the first point of contact for the customer of our practice. This position supports the mission of the practice by demonstrating excellent customer service while answering questions regarding advertising promotions, and screening customers to determine what services will meet their needs.
Primary Job Functions:
- Opens the office and ensures the front office is in order, flexible
- Greets and assists/directs customers who come to the practice
- Answers incoming calls and guides customers to the appropriate service
- Distributes and obtains appropriate forms, including new patient information, insurance information and HIPPA information for all customers
- Schedules all appointment and makes appointment confirmation calls
- Prepares and files client paperwork on a daily basis
- Confirms that everything is here and ready prior to customer’s appointment
- Order and maintain back office supplies
- Prepare new fitting packaging, proper paperwork for new fittings and ensure that devices are ready for the next day
- Tracks referral source for all clients
- Retrieves and returns phone messages
Account Functions:
- Creates invoices for appointments
- Collects and records payments
Miscellaneous Duties:
- Will be trained on manufacturer products and warranty policies, as well as filters domes, batteries and other special products to complete customers requests.
- Prepares marketing materials as needed
- Completes all filing
- Maintains an attractive and welcoming office environment
- Establishes and maintains good public relations
- Exercises confidentiality as it relates to all business and client information
- Performs miscellaneous duties as assigned
Job Skills, Knowledge and Abilities:
- Must be willing to work 8 hour shifts Monday through Friday.
- Excellent interpersonal skills that allow for effective working relationships with a diverse customer, colleague, and vendor population.
- Detailed oriented.
Job Type: Full Time
Salary: $20/hour
Schedule: Monday -Friday, (8 am to 4:30 pm, with 1 hour lunch break), Flexible
