SUMMARY DESCRIPTION Based in New York City, the Ford Foundation seeks an experienced operations leader with a global mindset and a passion for social justice to take on the role of Chief Administrative Officer (CAO). Reporting to the Chief Operating Officer (COO), the CAO will have primary responsibility for managing and coordinating the Ford Foundation’s operations in New York and across its 10 offices worldwide. This executive must be able to forge collaborative relationships with the leadership team as well as with the programmatic and operational leadership of the organization, to help to empower the Foundation’s operations around the world, and support its priorities globally. The CAO will serve as a right hand to the COO, functioning as the key manager of several critical operational functions, including Global Operations, Facilities, Security, and Business Continuity across the Foundation. They will be responsible for leading a team of 19 FTEs, including four direct reports, plus additional oversight over contracted service providers and temporary employees. Additionally, the CAO will work with the COO to set and deliver on strategic operational short term and long term goals that advance the Foundation's institutional objectives. They will play a critical role as the bridge between various operational functions within the New York headquarters and their counterparts throughout the regional offices. A proven thought leader and manager of people and processes, the broad scope of the CAO’s portfolio includes organizational leadership, as well as functional expertise. RESPONSIBILITIES With the COO and team leaders, establish the annual goals for the core operational areas of facilities, international operations, security, and travel, and support their respective teams to deliver on those goals. Serve as a partner to Regional Directors to support all international operations and coordinate those functions with their New York counterparts. Assist in the oversight and management of their facilities including real estate assets, leasing and space occupancy, and security. In partnership with the COO and Vice President of People & Culture, lead the organization’s future workplace strategy and implementation in light of the impact of the pandemic Oversee the day-to-day functions of the facilities and global operations teams. Drive the development, management, and continual improvement process related to all business processes. Systematically monitor, review, and upgrade systems, policies, risk management controls, and procedures to maintain the highest standards of operational excellence. Create systems of communication and oversight that ensure all regional offices are meeting the operational needs of their offices, any local compliance requirements, and the policies and practices of NY headquarters. Create and maintain communication systems between operational units across the entire foundation, keeping the COO informed of critical issues. Manage the operation of the Foundation’s landmarked NYC headquarters; manage a team of internal staff and external service providers to maintain the Foundation’s NY assets at the highest level, commensurate with a NY “A” office building including: engineering; janitorial; security, etc. Oversee the international safety and security programs ensuring that all staff follow best practices in their offices or when traveling. Oversee overall planning, implementation, and reporting of the Foundation’s global safety and security analysis and resulting plans. Establish, oversee, and guide global operational and cross-divisional committees, including crisis management. QUALIFICATIONS/CANDIDATE PROFILE The CAO will be an experienced, thoughtful, and inspiring leader who is able to act as a strategic partner to senior leadership of the Ford Foundation. This leader will have a track record of successful organizational decision-making within a complex, multi-location organization and a demonstrated commitment to excellence in systems, processes, people, and organizational culture. A seasoned leader of people and processes with a bias toward action, the CAO will have broad experience in developing and managing high performance teams, inspiring team members, collaborating across functions and driving projects toward clear decisions and outcomes. To be successful, this CAO must excel at leading through influence in addition to hierarchy, have demonstrated their ability to achieve real impact across an organization, and be a collaborative leader who provides clear guidance and acts decisively. The ideal candidate will have experience with the core operational areas of facilities, international operations, security, and travel. They should have global operations leadership experience gained in a complex, international organization, and experience working in government, a foundation, nonprofit organization, or institute of higher education, or a combination of not-for-profit and corporate leadership experience, both in the U.S. and internationally. Candidates should have a strong background in international operations, and/or global facilities management, as well as strong financial acumen. MINIMUM SALARY: US$265,000 PHYSICAL REQUIREMENTS This position is primarily a sedentary role. The person in this position may need to move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
