The Chicago School - Washington DC Inc is Hiring a Facilities Manager (Onsite - DC Campus) Near Washington, DC
Job Description: Job Description: The Facilities Manager is responsible for planning, directing, and overseeing building operations and facility-related services. The Facilities Manager is often the first point of contact individuals have with the institution, and as such is responsible for providing exceptional customer service and operational support. The facilities manager is responsible for facility set up and break down (tables, chairs, furniture, trash/recycle bins) with the events staff, coordinating with building management for both the south and north campus, and coordinating all facilities vendors for work being performed. Principle Duties: Act as first point of contact to answer general questions and direct individuals with inquiries to related TCSPP campuses, key departments, and individuals Communicate facility policies, procedures, rules and regulations to employees, students, and guests Maintain vendor relationships Liaison with building management, building engineers, cleaning staff, and contractors on a regular basis Assist with collaboration and planning with campus departments/offices, faculty/staff/student for events and activities on and off campus (student orientation, commencement, faculty orientation/retreat, etc.) Manage projects and supervise/coordinate work of contractors Review, update, and coordinate with local authorities on all safety and security matters related to the campus Emergency Operations Plan Direct and plan essential central services such as reception, security, building maintenance, mail, and IT Schedule and manage facility student workers as they provide support to the Facilities Manager position. Responsible for the selection, hiring, training, evaluating, and terminating of facilities student workers at the campus Provide administrative support to include supplies order, invoice/expense processing, reconciliation of purchase cards, inventory control and necessary communication internally and externally. Perform routine inspections of the campus and report/follow up on any operational or maintenance issues Ensure the building meets health and safety requirements and serve as a member of the campus emergency response team Plan for the best allocation and utilization of space and resources needed for class instruction, seminars, and events Assist in scheduling and reserving space for visitors Communicate department initiatives and policies to the campus Dean and the campus community Maintain general reception/waiting areas and open offices/classroom space to ensure it is presentable and professional in appearance Check that agreed upon work by staff or contractors has been completed satisfactorily and follow up on any deficiencies Respond appropriately to facility emergencies or urgent issues as they arise (during normal business hours and off-hours as necessary) Communicate, train, and implement emergency response plans for campus Assist with setup, breakdown, and general rearrangement of furniture within rooms and common areas as needed Respond to work requests from the campus community to resolve facility-related issues in a safe, effective and cost-efficient manner (includes performing minor repairs and general maintenance); Install white boards, tack boards, signage, and pictures throughout the campus upon request Maintain kitchens, mailroom, office supply cabinets, and copier/common areas Maintain and regularly update faculty/staff mailboxes and mail directories Sort and route incoming mail. Receive, route, and deliver outgoing mail. Post and ship postal mail and packages Assist with office moves, including furniture relocation and setup Create identification cards for faculty, staff, and students Maintain accurate and consistent records/documentation/reports Assist with general IT requests when needed Responsible for developing the location's facilities department budget and monitoring the expenditures and budget throughout the fiscal year Rent campus or branch rooms to external groups according to college policies and procedures Build and collaborate relationship with building personnel, including management, security, and contractors Perform other duties as assigned. Essential Knowledge, Skills, and Abilities: Computer skills and knowledge of Microsoft Office including, but not limited to, Word, Excel, Outlook, and PowerPoint Experience with database management programs desirable Flexibility to work evenings and weekends, be on call as needed Ability to lift, push, and pull approximately 50 pounds Strong detail orientation, accuracy and follow up in work product Ability to handle complex inquiries and interact in a calm and supportive manner with diverse and culturally diverse group of faculty, staff, and students. Ability to handle multiple tasks and assignments and meet demanding deadlines Ability to work independently without close supervision and as a member of a team, seek consultation when necessary High level of reliability, creativity, and commitment to maintain confidentiality The ability to handle tasks and last-minute requests with a positive and supportive attitude and to stay flexible when priorities shift. Ability to quickly develop a comprehensive knowledge of all aspects of the institution including areas of responsibility for each department Ability to prioritize, organize and meet deadlines with attention to detail Ability to communicate effectively in both oral and written form with a diverse internal and external audience Must be responsible and quick thinking and an innate ability to anticipate and respond to issues Enjoy working as part of a team, comfortable both asking for and offering help to meet team goals Ability to interact and work effectively with both the campus leadership team, faculty, staff, and students Critical thinking and problem-solving skills Project management skills.
