The Austen Riggs Center Inc is Hiring a Payroll Coordinator Near Stockbridge, MA

Description

Job Summary: The Payroll Coordinator is responsible for managing all aspects of payroll processing, ensuring timely and accurate payment of wages, taxes, garnishments, and deductions on a bi-weekly schedule. Acting as a member of the Business Office Team, this role will also support both the Accounts Payable and Accounts Receivable functions as well as perform general accounting tasks, (reconciliations, journal entries, etc.) This role also works closely with the Human Resources department to ensure accuracy in the HRIS/Payroll system data flow. This role will be key in the effective set-up and creation of the company’s payroll system and processes, continuously looking for efficiencies and improvements and making recommendations based on industry standard. 

Job Duties & Responsibilities:

  • Responsible for the accurate and timely processing of company’s Bi-weekly payroll and all associated time keeping records. 
  • Ensures accuracy of data in the payroll and timekeeping systems including accruals and benefit rates, audit as necessary.
  • Creates and maintains procedural manuals and training programs to support the Payroll and Timekeeping programs.
  • In coordination with the Director of Finance, acts as the main point of contact for all payroll and 403(b) related matters, research issues as needed.
  • Accurately process retirement plan contributions and reconcile amounts against payroll records and the general ledger. 
  • Remains up to date in wage and hour laws, internal policies, and federal and state specific regulations around payroll and timekeeping. Contributes recommendations for company policy changes based on updated regulations.
  • Provides backup and support for Accounts Payable & Accounts Receivable processing.
  • Reconcile monthly statements and transactions, posting batches and entries into the accounting software. (Great Plains)
  • Supports quarter-end and year-end processes including Payroll reconciliations, census requirements and accurate, timely filing of W-2 and payroll tax returns. 
  • Collects and provides Payroll data and reports for external audits, including 403(b), Worker’s Comp and Year End Financial Audits.
  • Completes special projects as requested by the Director of Finance.

Requirements

Qualifications:

  • Bachelor’s Degree preferred in Accounting or Business Administration
  • 3-4 years’ experience in a busy business office environment.
  • Knowledge of and comfort in payroll systems & time and attendance systems (Paylocity), prior payroll conversion experience is a plus.
  • Knowledge of wage and hours laws, W2s, and required year-end payroll procedures.
  • Ability to follow instruction from multiple sources, take initiative and follow through to assure effective outcomes while meeting deadlines.
  • Excellent interpersonal, communication, time management and organizational skills.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, SharePoint, and PowerPoint as well as Zoom videoconferencing.
  • Ability to work independently as well as part of a team.
