We are looking for a Construction Project Administrator who will work with Project Management and Operations Teams to ensure that all projects adhere to corporate standards and that proper documentation and processes are followed for all projects.

Essential Function

 The position will be responsible for but not limited to the following:

  • Complete all documents and procedures necessary to administer projects, including providing support to Contracts and Compliance Manager
  • Establish project set up and manage project documentation.
  • Create and assemble new job files.
  • Maintain existing job files.
  • Monitors projected customer payments and customer retention amounts for projects.
  • Assist Contracts & Compliance Manager with processing change orders submitted by Project Management teams.
  • Reconcile month-end billing reports, assists with preparation and reconciliation of monthly cost to complete projections.
  • Assists accounting as needed in obtaining weekly payroll information by project.
  • Perform basic accounting and job costing tasks.
  • Prepare original budget allocations from final proposals on all project awards.
  • Assist with pre-construction, project administrative submittals.
  • Enter vendor/subcontractor/supplier invoicing to support the cost on all jobs.
  • Davis Bacon Act and Prevailing Wage Compliance. Help to create more efficient processes.
  • Coordinate with accounting as required/needed.
  • Review construction programs, schedules, cost control reports, cost estimates, proposals for new business, and manpower and facilities requirements.
  • Prepare project status reports as required.
  • Review project status regularly with the Project Managers.
  • Perform other duties as assigned.

Qualifications

  • 3 years of experience performing project administration.
  • Thorough knowledge of billing/invoicing, purchase orders and subcontracts.
  • Strong knowledge and skill in the use of Microsoft Office applications.
  • Excellent time management and multi-tasking abilities.
  • Excellent administrative and organizational skills.
  • Solid interpersonal and communication skills – both oral and written.
  • Prior experience that demonstrates the ability to establish priorities and follow through on projects, paying close attention to detail with minimal supervision.
  • Strong computer and analytical skills.
