Job Description

We are seeking an HR Coordinator to join our dynamic and fast-paced team. This role provides support to the Human Resources teams as an onsite resource at our distribution center in Evansville, Indiana and is an integral part of the employee onboarding experience. In this employee-facing role, s/he will provide support and guidance to employees in a timely, accurate and confidential manner. Essential Functions and Key Responsibilities: Manages the new hire onboarding process including internal and new employee communication, onboarding documents, first day orientation, etc. Processes pre-employment screenings including background checks Verifies employment eligibility; processes I-9 documentation and completes I-9 forms; tracks and initiates updates as necessary Responds to general employee inquiries regarding employment, human resource policies and procedures, benefits, etc. Facilitates employee off-boarding process including separation paperwork, scheduling exit meetings and follow up as necessary Processes actions in HR system (Workday) to facilitate employee changes Supports the HR Generalist with tracking staffing information, including open positions within the facility and the status of recruitment for each role Responds to and completes inquiries for employee data from third parties including unemployment requests, verifications of employment and subpoenas, involving HQ counterparts when needed Maintains the company’s labor compliance postings and notifications Supports the Talent Acquisition function during the recruitment lifecycle to ensure a positive candidate experience: candidate communication, interview scheduling, travel coordination Supports the Total Reward functions with onsite benefits processes (plan enrollments, onboarding/offboarding, orientations, onsite vendor visits, etc.), payroll processes (distribution of checks/pay cards, wage orders, etc.), and other reward programs Coordinates with HQ counterparts to ensure the integrity, compliance, completeness, maintenance, and retention of all active and archived personnel files. Ensures confidentiality and audits records on a regularly scheduled basis for compliance Ensures compliance of processes with Company policies and state/federal laws Supports the onsite execution of all other HR-related programs Performs other related duties and assignments as required. Knowledge and Skills Requirements: Excellent verbal and written English communication skills required Demonstrated proficiency with HR systems, experience with Workday preferred Exceptional attention to detail and process-oriented mindset Highly organized, with excellent time-management and follow-up skills Current knowledge of HR industry functions and best practices, state and federal labor laws and regulations surrounding employment is preferred Ability to maintain high standards of confidentiality required Self-motivated and adaptable in a fast-paced and evolving work environment Education, Work Experience, and Professional Certifications: High school diploma required; Bachelors degree preferred, with a focus in Human Resources, Business Administration or Organizational Development 2 years related Human Resources experience preferred Work Environment / Physical Requirements: Office environment, heavy computer use Warehouse/distribution center environment; possible exposure to dirt, dust and noise Light physical effort equal to frequent lifting or moving of lightweight materials.
