Tarragon Property Services LLC is Hiring an Administrative Assistant Near Sumner, WA

Description

The Administrative Assistant supports the Commercial Property Management team in many of the commercial department’s day-to-day administrative and operational duties in accordance with the goals and objectives of the individual property owners and TPS. 

ESSENTIAL JOB FUNCTIONS

  • Provides administrative and clerical support to the Commercial Property Management team.
  • Schedules meetings and takes meeting minutes as needed.
  • Organizes and maintains file system for the commercial projects and vendors in coordination with the Records Department.
  • Maintains commercial database and documentation including OSHA logs, safety and security files, tenant and vendor certificates of insurance, contracts, and tenant emergency contact information.
  • Maintains keys to the properties including vacant spaces.
  • Assists with preparation and updating of contracts, operational reports and monthly financial reports. 
  • Prepares and updates tenant move in/move out, parking, insurance, mailboxes, keys, welcome gift, and welcome letter.
  • Corresponds with tenants regarding monthly rent statements, maintenance work orders, services, service interruptions, and lease violations. 
  • Acts as liaison to tenants, vendors and contractors via phone call and email.
  • Contacts utility companies to arrange for transfer of service for tenants.
  • Maintains work orders to include assignments, reports, tenant calls and tenant follow-up. 
  • Processes deposits of rent payments and enters invoices into Avid and Yardi for account payables.
  • Collects outstanding tenant past due balances per lease agreements.
  • Other duties as assigned.

Requirements

EDUCATION AND EXPERIENCE

  • 2 years administrative and/or customer service experience; Experience in property management a plus.
  • A high school diploma or equivalent is required.
  • Excellent written and verbal communication skills to communicate and work effectively with management, co-workers, tenants, and vendors.
  • Proficient in Microsoft Office Suite; Experience with Yardi or Avid a plus. 
  • Able to lift and carry 25 pounds.
  • Strong organizational skills, attention to detail, and ability to be self-directed.
  • Must be pro-active and results oriented with a professional appearance and attitude.
  • Must be comfortable working in a fast-paced work environment balancing multiple projects and tasks simultaneously and consistently meet deadlines.
