Tango Card is Hiring an Executive Assistant Near Seattle, WA

The Job

At Tango Card, you will directly strive to keep things running smoothly and efficiently by partnering with the CEO and Executive Leadership Team (ELT) to provide personalized and timely support. You will anticipate needs, provide administrative support, calendar and coordinate efficiently, lead projects and coordinate events. You will primarily support the CEO and Executive Leadership Team (ELT) while reporting into the office of the Chief of Staff. 

Reports To: Chief of Staff

As the Executive Assistant at Tango Card, you will:

  • Currently living in the Seattle Metro area, as this role will require 2 days in office attendance.
  • Responsible for the day-to-day workings of the leaders you support and complete a broad, wide range of administrative tasks for the ELT to include: managing multiple active calendars; completing expense reports; arranging sophisticated and detailed travel plans; itineraries and agendas; vendor research; project planning
  • Communicate with internal and external contacts to facilitate meetings, always maintaining an executive presence and level of professionalism
  • Take ownership of planning and prioritizing a variety of tasks that support the CEO and ELT’s ability to effectively lead the organization.
  • Work closely with the CEO and ELT to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
  • Anticipate needs in advance of meetings, conferences, etc. to ensure executives are accurately prepared
  • Provide support for Board meetings and events, such as arranging and handling all logistics, schedule meetings; draft agendas; develop, compose, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary while also adhering to compliance with applicable rules and regulations set in bylaws regarding Board matters
  • Coordinate and support multiple executives and serve as primary point of contact for internal and external coordination efforts pertaining to them
  • Responsible for keeping all of our offices running by working with internal teams to make sure conferencing systems work in conference rooms, mail and packages are collected and distributed, snacks, refreshments, and office supplies are stocked
  • Plan and facilitate logistics for company-wide, department-wide, and external events including researching vendors, contract negotiations, venue preparations, catering, transportation, accommodation, equipment, and marketing materials. Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order and serve as the main point of contact.

To be effective in our Executive Assistant role, you must have:

  • High level of confidence and extremely flexible with constantly evolving priorities
  • A collaborative attitude, be extraordinarily organized, multi-task efficiently, and have unparalleled interpersonal skills.
  • 5 years' demonstrated ability as an executive assistant at a start-up supporting C-suite leaders
  • Strategic execution of administrative activities, with high attention to detail, organization and process
  • Advanced IT skills including expertise in Google Workspace, Apple/Mac technology, and skilled in Microsoft Office Suite.
  • Experience with productivity tools such as Slack, Box, Monday.com, Zoom, etc.
  • Experience with scheduling and preparing materials for Board meetings
  • Experience managing multiple calendars and meetings for a team of executives
  • Skilled in calendar management with the ability to prioritize inquiries and requests while troubleshooting challenges and making to ensure smooth day-to-day engagements
  • Proven track record of navigating through ambiguity, and a demonstrated ability to adapt to constantly evolving circumstances and demands
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Ability to react with appropriate levels of vitality to situations and events that require quick response or turnaround
  • Ability to maintain a high level of integrity and discretion in handling confidential information

Our ideal Executive Assistant at Tango Card will have most of the following skills and experience:

  • 4-year college degree or equivalent combination of education, training, and experience
  • Knowledge of B2B industry, gift cards, or both
  • Project Management experience
  • Event coordination experience
