Position Purpose

The primary responsibility of a Project Administrator is to help with many of the duties surrounding project management. They look after administrative tasks, including completing project paperwork, maintaining budgets, scheduling meetings, sending invoices, and interacting with clients. The Project Administrator will work alongside the Project Management team as a project partner, collaborator, and assistant to gather necessary information and support project completion. This is a task-oriented role, where attention to detail and the ability to multitask are keys to success.

Essential Responsibilities / Accountabilities

Assist the Project Manager in gathering all required documentation and information for accurate submissions.

Review and understand the billing requirements for each project outline in the contractual agreements and ongoing project needs.

Establish the project payment schedule/contracts, ensuring all information in the ERP/CRM system is accurate and maintained.

Manage the associated invoicing for all designated projects, ensuring the payment schedules are accurate and current.

Initiate invoices for any change orders or additional project costs.

Create the initial set up of projects and job structure in Epicor.

Oversee the current contracts to enhance understanding and to ensure requirements are met.

Collaborate with the management of customer project portals and information.

Follow up on Accounts Receivable collections and works with customers to get payments arranged.

Ensure all Epicor/CRM/ERP project information is accurate and current.

Set project goals and timelines for invoicing and admin actions needed for success.

Provide daily support as a partner to project management and project leads.

Adhere to all company safety policies and procedures.

Attend meetings, seminars, and training sessions as required.

Perform assigned duties according to the policies and expectations prescribed by the company.

Minimum Qualifications

  • Two or more years of experience in a Project Administrator or similar role.
  • Prior experience in construction invoicing.
  • Strong knowledge of business and manufacturing processes.
  • The ability to correctly read and comprehend contractual content.
  • Proficiency in Microsoft Office applications.
  • A degree in business management or business administration is preferred, but not required for candidates with proven work experience.

The employee frequently is required to reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision, color vision, and peripheral vision. The employee regularly operates a computer, including typing, using a mouse or keyboard, and viewing the screen for extended periods. While the role does not require regular lifting or physical exertion, there may be occasional onboarding programs or training opportunities that create opportunities for more exposure to physical tasks or new environments (sites, venues, etc.)

Work conditions of the role are:

  • Work conditions may involve moderate exposure to unusual elements such as dirt, dust, fumes, unpleasant odors, and/or loud noises.
  • Work environment involves some exposure to hazards or physical risks which require following basic safety precautions.
  • Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required. This includes, safety glasses, reflective vest, ear plugs, safety toed shoes, and other PPE as required by the location.
