SymphonyAI is Hiring an Office Administrator Near Palo Alto, CA

We’re looking for a master multitasker with excellent communication skills and an upbeat, self-starter attitude. You’ll play a large role in creating a first impression of the company via in-person and phone interactions with individuals; including prospective clients, employees, business unit executives, investors, guests, and vendors who walk through the door or call SymphonyAI. Ideally, you care deeply about the level of interaction and the quality of the experience the individual enjoys during their initial interactions at our global HQ.

Responsibilities

  • Create a welcoming, warm, productive atmosphere in the office
  • Support company executives as need with scheduling, travel, and expenses
  • Lead office logistics, operations, and administration including office supply orders and stocking, catering orders, and snacks/lunches
  • Support the planning and execution of in-office events, including board meetings and pitches, department offsites, team lunches, happy hours, and more
  • Plan and coordinate delivery and shipment of employee appreciation gifts (work anniversaries, birthdays, etc.)
  • Organize and oversee shipping accounts for office deliveries and mail
  • Partner with building maintenance and security and other third parties, including cleaning, HVAC, IT and other facilities vendors, to ensure the office is running smoothly
  • Plan and execute office projects spanning telecom/teleconference, physical space changes, interior design, and other projects as they arise
  • Support audio/visual setup for company-wide cross-office meetings with IT
  • Answer, screen, and direct incoming phone calls

Requirements

  • Strong communicator (written and verbal) with the ability to work well with people across a variety of jobs, experience levels, and functions
  • 2 years of in-office experience preferred
  • Able to be in our Palo Alto HQ, Monday – Friday from 8am – 5pm
  • College Degree preferred
  • Tech savvy
  • Ability to work effectively with outside vendors, including food services, cleaning services, repair/maintenance vendors, technology vendors - as well as internal stakeholders
  • Experience working at a fast-paced technology company is a plus
  • Effective project management skills to lead buildouts and other office-related projects
  • Ability to lift 25 lbs
