Subvrsive is Hiring an Office Coordinator Near Austin, TX

And we’ve done just that for partners big and small, trusted by teams at Google, Amazon, Netflix, Ford, TikTok, Snapchat and more. While the past few months have seen an uptick of metaverse talk, we’ve been walking the walk for 7 years running. Metaverse is what we do, and all we’ve done since 2015. 

Subvrsive is seeking an Office Coordinator to join our team. The ideal candidate has experience providing exceptional customer service, is highly organized, and enjoys providing administrative support. The Office Coordinator will open and close the office, greet visitors, and coordinate office services. The position will be on-site at our main office located in Austin, Texas with standard working hours between 8am-5pm Central.

Our ideal candidate would be able to:

  • Provide outstanding client service by coordinating the management, monitoring and control of a commercial office
  • Greet visitors and clients when they arrive and provide general support to visitors
  • Exhibit polite and professional communication via phone, e-mail, and mail
  • Schedule meetings and appointments within the office coordinating use of meeting rooms and production spaces
  • Partner with HR to update and maintain office policies 
  • Manage contract and price negotiations with office vendors and service providers 
  • Monitor, maintain, and track usage of shared office equipment and arrange any necessary repairs
  • Address employees queries regarding office management issues (e.g. stationery, hardware, and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Assist in planning in-house or off-site activities such as holiday parties, celebrations, and conferences

Qualifications include (but are not limited to):

  • 1-2 years experience as a Receptionist, Office Manager, Front Office Manager, Facilities Coordinator, Administrative Assistant, or Executive Assistant
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Proficiency in Google Suite (Gmail, GCal, Sheets, Slides, Meet, etc)
  • Hands on experience with office machines (e.g. printers and reception phones)
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Organized, resilient and flexible, with the ability to anticipate change, and to react quickly and efficiently
  • A creative mind with an ability to suggest improvements
  • A Bachelor’s Degree in Communications, Advertising, Marketing, Human Relations, Hospitality, or Business is a plus.
