Overview

Stellar is seeking to hire a Proposal Coordinator who will work with the Proposal Manager and/or the Proposal Assistant to coordinate and organize proposal activity for commercial and federal construction projects. This individual will not be limited to just proposal development, but will also assist in the marketing efforts for their division (public relations, social media, groundbreakings, sales, etc.). The Proposal Coordinator will delegate tasks to be completed for several aspects of the proposals process and be the main point of contact for proposals with project team members. Successful candidates will be highly organized creative self-starters with exemplary interpersonal, oral, and written communication skills, as well as possess integrity and a strong work ethic. This candidate must be able to work with a variety of personalities and be professional in all communication. 

Responsibilities

  • Evaluate RFP’s, RFQ’s, and any other project solicitations to determine what requirements need to be met and exceeded to submit proposals to potential clients. Creating proposal outlines and development plans
  • Assist the Proposal Manager in the development and preparation of proposals, prequalification packages, and information packages. This will include formatting and proofing proposals, information, etc.
  • Design layouts for proposals as well as other needed collateral such as brochures, etc.
  • Create / update / edit various materials, including but not limited to, resumes, project profiles and presentations, to be used within and outside of the company
  • Act as the main point of contact on assigned proposals, assisting in leading and guiding the work of the proposal/project team
  • Plan winning themes, value propositions, strengths, risk reducers, and differentiated solutions to the initial proposal outline
  • Facilitate multi-disciplined groups in brainstorming and developing solutions to key aspects of the proposal providing tactical advice and guidance with the ability to drive strategy and solutions that result in winning submissions
  • Solicit management reviews and approvals during proposal development
  • Monitor proposal content to ensure compliance to RFP (Request for Proposals) requirements, evaluation criteria, and technical requirements
  • Attend pre-bid meetings, conferences, debriefs, etc. as needed
  • Develop, print, stack, and deliver proposals
  • Coordinate annual prequalification renewals (track and prepare them)
  • Coordinate and attend all groundbreakings and grand openings
  • Assist with the maintenance of the division’s database of project datasheets, resumes, standard content, photography, etc.
  • All other duties as assigned

Qualifications

  • Proficient in Adobe Creative Suite, especially InDesign
  • Knowledge of Adobe Illustrator/Photoshop preferred
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Photography experience a plus
  • Knowledge of the RFP/RFQ process as well as the Architecture, Engineering, and Construction industry a plus
  • Working knowledge of marketing databases and proposal resources files
  • Organizational Skills/Multi-tasking
  • Proven ability to work independently as well as in a team environment, and lead a team to the completion of a pursuit
  • Proven ability to work across organizations with effective communication, leadership, and project management skills
  • Excellent presentation and written/oral communication skills
  • Excellent time-management skills and ability to work in a fast-paced, deadline-conscious work environment
  • Strong analytical and decision-making skills
