State of Delaware - DSHS/Office of the Secretary is Hiring a Program Support Specialist Near Dover, DE

Summary Statement

�Incumbent is responsible for providing support to an administrative and/or technical superior by providing office coordination and managing workflow, processing administrative and program information, preparing and executing mailings, utilizing word processing, spreadsheet, and database computer applications, and interacting with constituents and other state agencies, all to enhance collaboration and service delivery to staff and the target population.\r\n\r\n\r\nThis position is within the Department of Safety and Homeland Security (DSHS), Delaware Office of Highway Safety (OHS). OHS is committed to improving the safety of Delaware's roadway users by focusing on behavioral traffic safety issues such as impaired driving, seat belt use, aggressive driving, child passenger safety, pedestrian and bicycle safety, motorcycle safety and teen driving issues.\r\n

Essential Functions

Essential Functions\r\nEssential functions are fundamental, core functions to this position are not intended to be an exhaustive list of all job duties for any one position. Since class specifications are descriptive and not restrictive, incumbents can complete job duties of similar kind not specifically listed here.\r\n\r\n•\tAssures effective operational functions by planning and coordinating office administrative tasks such as coordinating meetings and taking minutes, reviewing, and reconciling staff travel and other office related activities.\r\n•\tDirectly supports the following for staff: fleet management, forms/records management, facilities management, inventory, contracting, purchasing, reconciliation, equipment maintenance and repair, mail distribution and messenger services, office support, bank deposits and post office duties as needed.\r\n•\tMay act as an assistant to staff in a variety of operational areas which may include but not limited to, preparing required reports, maintaining records and/or compiling data; performing special projects including needs assessments; obtaining, organizing, and drafting administrative material for external/office use; acting as liaison with vendors, state/federal representatives, the public, etc.\r\n•\tServes as a liaison with the public, state/federal agency staff and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures. Responds to inquiries and processes information/data. May schedule appointments, coordinate conferences, meeting, travel, trainings, and related office activities.�\r\n•\tScreens telephone inquiries and visitors and provides basic technical guidance to State agencies and the public; refers individuals to appropriate staff or state agencies.\r\n\r\n\r\n\r\n

Job Requirements

JOB REQUIREMENTS\r\nApplicants must have education, training and/or experience demonstrating competence in each of the following areas:\r\n\r\n\r\n Two years' experience in coordinating administrative support operations.�\r\n Two years’ experience in using standard computer software programs for word processing, spreadsheets, or databases.\r\n Two years’ experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems.\r\n Knowledge of conducting research from multiple sources, analyzing data collected and preparing reports, letters, and administrative documents.\r\n\r\n\r\nPlease attach a resume with your online application or use the resume tab in DEL to provide a detailed description of how your education, training and/or experience meets each job requirement including employer, experience/responsibilities and dates (month/year) of employment/training.\r\n\r\n

This is a Casual/Seasonal position which is a non-pension eligible position without healthcare and/or other benefits.\r\n\r\n\r\nThis is a 29.75 hour a week Casual/Seasonal position with the Office of Highway Safety, which is a non-pension eligible\r\nposition without healthcare and/or other benefits.\r\n\r\n
