Salary Range: $90,000-110,000 (depends on years of experience)

The Executive Assistant to the Head of School is a critical member of St. Luke’s leadership team who provides quality, consistent, confidential, and professional support to the Head of School and assures the effective operation of day-to-day activities of a well-organized office.

Responsibilities & Expectations

  • Performs high-level administrative and operational tasks by organizing, scheduling, coordinating, researching, compiling, exchanging, and analyzing information for the Head of School. 
  • Works efficiently, independently, and under pressure at times, handling a wide range of activities and confidential matters with the utmost discretion, good judgment, high EQ, and cultural competency.
  • Thinks critically and offer solutions to problems with a high level of professionalism. The Executive Assistant to the Head of School will often be the first point of contact between the school and a source of information for students, parents, faculty, Board of Trustees, and visitors.
  • Supports the Head’s daily operation of the school, short and long-term goals, and institutional projects and enables the Head to manage time effectively.
  • Strategizes with the Head of School to organize and review daily priorities, and schedules, maintains, and confirms the Head of School’s appointments and calendar activities.
  • Assists the Head of School with work and events related to the Board of Trustees and the leadership team, and supports the school’s board of trustees and/or executive and standing committees.
  • Prepares for and follows up, attends, and takes minutes at full Board of Trustee, Board Committee, and leadership team meetings.
  • Plans and coordinates the Administrative Retreat, Board of Trustees’ Retreat, Board and committee meetings, and other meetings and events as required by the Head of School.
  • Supports the leadership team by coordinating various projects and activities, including managing actions, setting timelines, assisting with schedule management, and monitoring the progress of projects, handling any issues that arise, serving as the point of contact, communicating project status to all participants, and creating and maintaining comprehensive project documentation, plans and reports.
  • Provides a sense of stability in an ever-changing environment and works to build and maintain an atmosphere of trust and openness among all school constituencies.
  • Is accessible, approachable, and welcoming, managing highly confidential situations with discretion, respect, and sensitivity.
  • Understands and promotes the standards and policies of the school, providing leadership as standards and policies evolve.
  • Assumes responsibility for other tasks and projects as assigned by the Head of School.

  • Perform additional duties, such as morning, recess, lunch and participate in the life of the school. Be present and on-time to assigned duties.
  • Participate in and attend faculty/staff meetings and committees, including school-wide initiatives about issues of equity, pedagogy and curriculum.
  • Participate in the life of the school, including attendance at required events such as curriculum night, parent conferences, grade-level cocktail party, Christmas Fair, Spring Benefit, and school games and events.
  • Ability and willingness to occasionally work outside of the workday or work week for special programs, events, and meetings is required.
  • Enforce school policies and rules with students.
  • Proficiency with Microsoft Office and Google Suite. Technological savvy and strong proficiency in Google environment, Excel, and database programs, as well as interest and ability to learn new technology platforms and systems.

EDUCATION REQUIREMENTS

  • Bachelor’s Degree or equivalent
  • Experience as an executive-level assistant or project manager.
  • Meeting and event management experience.
  • Outstanding interpersonal skills, integrity, and strong work ethic.
  • Ability to work creatively and with a sense of urgency and to make quick decisions, take initiative, and prioritize tasks.
  • Attention to detail and resourcefulness.
  • Technological savvy and strong proficiency in Google environment, Excel, and database programs, as well as interest and ability to learn new technology platforms and systems.
