POSITION SUMMARY
The Administrative Assistant is the first contact and impression maker to the guests of SRS. This role interacts with all levels within the organization, greeting and assisting visitors and answering inbound calls. The Administrative Assistant continuously offers the highest level of service to all phoenix Market Leaders, Brokers & Staff while maintaining the professional image of the company through prompt, courteous, and efficient service. The Administrative Assistant reports to the Phoenix Sr. Operations Coordinator (SOC) and assists with a myriad of administrative tasks for the SOC and all other members of the office. This position is Monday through Friday and will consider full-time or as a part-time position.
ESSENTIAL DUTIES
The following are some of the more pertinent job duties and is not an exhaustive list:
Reception:
· Provide telephone support and informational assistance for inbound calls; monitor general voicemail
· Monitor ring camera
· Greet visitors and assist with traffic flow, take messages, and assist guest/clients as needed
· Serve as point of contact for office vendors/suppliers
· Order and stock all supplies; maintain appropriate inventory levels in supply areas
· Process and distribute mail, overnight packages, courier deliveries
· Keep conference rooms, printers & copiers, lobby & kitchen areas clean and stocked daily
· Work with IT to ensure lobby TV’s and electronic equipment runs smoothly
· Perform other duties as assigned/needed (such as birthday celebrations, food orders for lunch meetings, etc.)
· Scheduling maintenance and repairs of office equipment as needed
· Pro-actively ensure day-day office operations/facilities run smoothly
Administrative:
· Prepare conference rooms for meetings
· Assist marketing with sign installation orders & tracking
· Schedule meetings and update meeting/conference room calendars.
· Prepare FedEx Labels as needed
· Perform other duties as assigned/needed (such as certified mail runs, binders, general filing/scanning, lobby holiday decorations, etc.)
· Assist the Senior Operations Coordinator & Marketing Department with office events, culture initiatives, administrative support, various administrative tasks, and special assignments or projects as needed.

EDUCATION AND EXPERIENCE
· College degree preferred, but not required
· Working knowledge of Microsoft Outlook, Word, Excel, PowerPoint, Adobe Acrobat, as well as general knowledge of Smart TV & Direct TV operation.
