SUMMARY OF POSITION:

The person in the role of Event and Administrative Coordinator must possess exceptional organizational skills and love planning memorable events to bring people together. You will be the “go-to” person for our Advancement Team and will coordinate everything from a big-picture viewpoint to create flawless experiences for Springs Rescue Mission (SRM) supporters. In addition, this position will have excellent problem-solving skills and passion for perfection to our ministry. Related administrative duties may be assigned. 

DUTIES & RESPONSIBILITIES:

  • Serves donors and donor-development teams by planning and executing events in addition to providing/completing select or related administrative tasks
  • Plan all donor events to include Annual Golf Tournament, Major Donor Culinary Events, Good Samaritan Annual dinner, and other off- and on- site events as they arise
  • Research and compile guest list(s) for the event(s)
  • Oversee design, print, and mail invitations (working with Marketing and Communication Team)
  • Responsible for other applicable mailings regarding events
  • Maintain RSVPs to events
  • Investigate off-site venues for events
  • Negotiate contracts with events site
  • Compile and monitor budgets for all events
  • Coordinate event details with applicable location(s) and staff
  • Create a communication plan for Development staff
  • Select and order gifts for event attendees
  • Respond to staff and donor questions and/or inquiries regarding events and participants
  • Maintains and orders promotional materials and other office supplies, ensuring supplies are always adequately stocked for department needs
  • Kindly and enthusiastically communicate with supporters/potential supporters using various tools, i.e., phone, mail, text, email
  • Acts as Facilities department liaison
  • Other administrative duties that may be assigned
  • Attends all required meetings and reviews SRM emails regularly
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.

Requirements

EDUCATION/EXPERIENCE:

  • Associates or Bachelor’s degree preferred
  • Two to four years event planning experience or like experience required

SKILLS AND QUALIFICATIONS:

  • Maintains a personal relationship with Jesus Christ and is a constant witness. Attends church weekly and abides by biblical principles with life choices. Christ-centered and compassionate attitude in dealing with people including the homeless and faithfully upholds and exemplifies SRM’s Statement of Faith
  • Consistently conducts self in a professional, courteous, and efficient manner. 
  • Dresses appropriately for the environment and occasions. 
  • Should be an outgoing and enthusiastic person with a high interest in helping others.
  • Strong customer service skills: able to address inquiries, provide information and engage donors in a cheerful and professional manner clearly, and personably.
  • Must have experience in planning events, professionally or personally. Needs to understand contracts and have ability to stay within a budget. 
  • Great phone skills.
  • Highly organized with exceptional attention to detail. Good problem-solving skills.
  • Good verbal and written communication skills. Appropriate grammar for composing business correspondence and editing collateral materials
  • Computer literate, with working knowledge of Word, Excel spreadsheets, Google sheets, internet, contact management database, and email
  • Must be discrete and maintain confideniality at all times.
  • WORKING CONDITIONS/PHYSICAL FACTORS:
  • Occasionally = 1%-33%; frequently = 34%-66%; continuously = 67%-100%. 
  • Business office environment or venue environment when events being held.
  • Occasionally: standing on feet for several hours, climb stairs, must be able to lift 25 to 50 pounds, 
  • Frequently: ability to perform remote work (up to 3 times per week), may need to work outside of normal business hours and/or weekends, interaction with a wide variety of people to include homeless persons
  • Continuously: work normal office hours, walking, talking, manual dexterity, sitting, bending, stretching, adequate vision and hearing, good mental condition to withstand consistently medium to high levels of stress

Salary & benefits include the following: $55,000-$60,000 annually, DOE. 

* Full benefits package to include: medical benefits with SRM paying 85% of the medical premium, voluntary Dental, Vision, Allstate Accident Plan, SRM-paid Short-Term and Long-Term Disability, Life Insurance, and AD&D. Also offered are 8 paid holidays, 21 days of accruable PTO, paid “Soul Care Retreat” days (up to 4 depending upon availability), and a 403b retirement plan with SRM-match after one (1) year, 100% vested beginning DOH; (Benefits are subject to change based on reevaluation or benefit plan changes annually.)

*Benefits begin at 1st of the following month after completing a full 30 days of employment (I.E. start date 4 January 2021, benefits initiate 1 March 2021)
