Job Description


Spectrum Insurance Group is searching for a Front Desk Receptionist to join our Hudson team. This role supports our team by: 

  • Answering incoming phone calls;
  • Greeting and directing insurance office visitors;
  • Administering change requests and endorsements;
  • Entering data into our agency management system; 
  • Providing administrative support to the location.

Responsibilities


Administrative

  • Receives and accurately sorts and distributes incoming mail
  • Ensures incoming faxes are emailed to the appropriate person or department
  • Completes MVR requests and trucking certificates according to scheduled rotation 
  • Maintains agency management system with up-to-date and accurate data
  • Administers change requests and endorsements
  • Assists with processing and suspense of new business, renewals, cancellations, and endorsement requests
  • Completes applications in coordination with Agent, Account Manager/Executive
  • Performs basic office functions including emailing, filing, scanning, copying, and faxing
  • Assists other departments with mailing, filing, generating letters, and assembling binders
  • Updates and maintains employee and departmental phone directories
  • Documents customer comments and account changes and relays to appropriate person
  • Orders hospitalization and memorial gifts upon request and according to policy
  • Organizes tasks and resources to complete work and meet deadlines according to established procedures 
  • Makes decisions on a variety of tasks frequently requiring discretion, judgment and initiative guided by general procedures or standards
  • Assists with Customer Service Representative and Agency Services Representative duties as needed

Customer Service

  • Welcomes and greets members and visitors over the phone and in person
  • Answers incoming phone calls and efficiently directs callers to the appropriate person
  • Greets and offers coffee or water to walk-in customers
  • Answers customer questions and resolves complaints in a timely and efficient manner
  • Delivers exceptional customer service according to Spectrum’s Customer Service Standards with a goal of exceeding customer expectations with every interaction
  • Promotes a customer-focused environment by providing friendly, courteous, and helpful service to internal and external customers
  • Supports a team-oriented environment by interacting in a professional, collaborative, and respectful manner with all employees, clients, customers and/or vendors
  • Communicates effectively and respectfully with all employees, visitors, and customers
  • Interacts in a cooperative and professional manner with all employees, clients, customers and/or vendors

Requirements


Education and/or Work Experience Requirements

High School diploma or equivalent. Associate’s degree and insurance industry experience preferred.

Required Knowledge and Skills

  • Effective listener with friendly, welcoming interpersonal skills
  • Proficient with Microsoft Office including Outlook, Word, and Excel
  • Ability to operate a multi-line telephone
  • Excellent verbal and written communication skills
  • Highly organized with the ability to prioritize and multi-task
  • Attention to detail and ability to complete tasks with a high degree of accuracy
  • Ability to follow existing processes, procedures, and verbal instruction
