Specialized Real Estate Group is Hiring an Office Administrator Near Fayetteville, AR

Schedule:

  • Weekdays 8 AM to 5 PM
  • This is an in-office role, not a remote or hybrid position.

Description

Specialized Real Estate Group is looking for an Office Administrator to join our growing team! As the Office Administrator, you will ensure the smooth operation of the office locations and overall business on a day-to-day basis. The right candidate for this position must have a positive, team-player mentality and be eager and willing to do what it takes to get the job done! You should be able to thrive in a fast-paced environment and at times juggle many different tasks while maintaining the ability to prioritize. You must also be a self-starter, where follow-up and attention to detail are critical. Finally, you must champion Specialized Real Estate Group’s core values and strive to achieve our mission every day.

Key Duties and Responsibilities:

  • Being the face of Specialized Real Estate Group, you’ll welcome incoming guests, vendors, and employees with a smile.
  • Manage incoming and outgoing correspondence, including phone calls, voicemail, emails, faxes, and packages, and directing them to the appropriate personnel during normal business hours.
  • Sort, scan and distribute incoming mail, prepare outgoing mail and packages, including occasional pickup and delivery of packages and supplies.
  • Scheduling, planning and organizing various complex activities such as meetings and company events, including coordination of venue, meals, etc.
  • Scheduling meetings, travel, logistics and conferences for senior management when needed.
  • Acting as a liaison internally and externally between departments and outside businesses and clients, often handling confidential information.
  • Ensure overall tidiness and organization of all common office areas, including stocking copiers/printers, bathroom paper products, emptying trash, keeping dishes clean/stocked, stocking office spaces with snacks and drinks.
  • Monitoring and ordering supplies and inventory, within a set budget, as well as keeping in mind the Specialized values of health and sustainability, for office and break rooms of multiple locations.
  • Ordering new office furniture, equipment, and electronics as needed.
  • Preparing home office purchasing card expense report, as well as preparing other personnel expense reports when needed.
  • Coordinating with vendors for regular cleaning, repairs and maintenance needs of offices and office equipment.
  • Organizing and maintaining records, invoices, leases, contracts, and other important documentation.
  • Establishing and maintaining document retention policies for various departments.
  • Take initiative for personal and professional growth (i.e. participating in educational opportunities, suggest process improvements, take on additional duties when applicable).
  • Perform basic accounting data entry such as recording incoming payments and scanning/processing rent payments.
  • Assist with onboarding tasks for new employees such as apparel, business cards and supplies orders as needed.
  • Assist with company vehicle tag renewals when applicable.

Experience/Skills/Requirements

  • You must be a high-energy person with a positive attitude who loves organization and details!
  • High School diploma required. Bachelor’s or Associate’s degree in business administration, management or similar field preferred.
  • 2 years administrative experience in a business environment.
  • Excellent computer skills, proficiency with various office equipment and programs, G-Suite, MS Office Suite (including Excel and PowerPoint) and Adobe experience preferred.
  • Professional written and verbal communication skills are a necessity.
  • Strong interpersonal skills needed to facilitate positive and professional interaction with all employees and customers.
  • Commitment to providing top-notch customer service to residents, vendors, and other business partners.
  • Flexibility and the ability to prioritize and take on new tasks outside your scope and grow with the company.
  • Must be able to work independently under general instruction and take initiative.
  • High degree of professional judgment; ability to generate trust and retain confidentiality.
  • Reliable transportation and valid driver’s license required.
