Summary 
Under the supervision of the Division Director, the IT Manager will be responsible for the oversight of all information technology for the entire Division, including but not limited to: acquisition of equipment and setup; troubleshooting for software and hardware failures; maintain and secure company data; maintain and secure email system; data and voice servers, and voicemail system; IT coordination of Office relocations & build-out; and outsource resources and applicable vendor relationships; and directly manages a local workforce of IT support team. 
The IT manager is also responsible for administering, managing, and supporting IT services, such as: identify network problems related to company-owned or leased equipment; installation, repair, and preventative maintenance of technology equipment; and related web-based electronic systems for the department programs. S/he coordinates the implementation of hardware and software rollout to achieve industry standards. 
The IT Manager provides support to all program data systems, including SAGE, Leader Replacement System (LRS), HOPICS Kiosk, LAHSA Clarity (HMIS), CHAMP system, EXYM, and Encryption for data and email systems. S/he provides timely attention to all internal IT Helpdesk requests, for local and remote based users. In addition, provide initial incident response for unplanned system outages or security threats, and sends out update notifications to all staff. 
Essential Functions 
The IT Manager is responsible for the following essential functions: 
• Equipment Oversight o 300 desktop workstations o 400 laptop workstations o 200 desk printers o 20 multi-function copiers o 5 Data servers o 5 Data backup system o 20 wireless access points o 1 Voice server, 6 office VoIP systems o 1 Virtual voicemail system o 7 Security burglar alarm systems o 6 Access control ID badge systems o 1 Computer lab 
o 350 Verizon Mobile/Data equipment 
• Server and Network o Add & Remove User Accounts – Reset Password o Modify, Monitor and Manage Network and Network Files 
o Modify, Monitor and Manage Network software & Hardware o Modify, Monitor and Manage, and Update Network Firewall and Antivirus Protection o Modify, Monitor and Manage Network’s shared folders o Monitor, Manage and Update Network Securities & Permissions o Maintain and update Network’s Operating System o Assigning User’s computer names and Network’s IP address o Backup Entire Network and User Files (Daily and Weekly backups) o Install and remove software 
• Workstations o IT asset inventory 
o Maintain and clean-up desktop computers and other office equipment o Maintain and update computers and other equipment o Troubleshoot Software & Hardware o Install and remove software o Monitor, Manage and Maintain Anti-Virus Protection o Upgrade software o Diagnose and repair hardware and software 
o Workstation data encryption as required by subcontract 
• Phones o Add & Remove User Accounts – Reset Passwords o Modify, Monitor and Manage – Phone Extensions o Modify, Monitor and Manage – Voicemail o Manage the phone server configurations & servers o Manage the phone server anti-virus protection o Upgrade and update software o Diagnose and Repair hardware and software for phone system o Service call with voice hardware vendor with software changes and configurations o Service call with data/voice service provider with troubleshooting support o Assist staff with troubleshooting o Update Internal Staff Directory 
• On-boarding/Off-boarding Employee o On-boarding/off-boarding processing o Deploys end user workstations and accessories for new hires o Performs hardware and software refresh on pre-determined cycle 
• Internet Wired and Wireless o Balancing Load o Manage, monitor, and repair hardware and static builders o Diagnosis Connectivity o Create and replace working cables o Modify, manage, and maintain internet configuration o Modify, manage, and maintain network firewall equipment & configurations o Modify, manage, and maintain wireless access points (Wi-Fi) configuration and access 
• Copier and Printers o Inventory user and/or department accounts o Add and replace user and/or department accounts and set limits o Order and replace Ink cartridges/Toner o Order and replace copier supplies (staples, waste toner box) o Monitor, Manage, and maintain printers (Hardware and connectivity) o Assist staff with troubleshooting o Diagnosis and repair hardware o Setup SMB scanning 
• Email o Add and remove user accounts o Add and update staff email signature o Add, share, and update Google calendars o Monitor, manage and maintain email configurations o Email message encryption o Assist staff with troubleshooting o Diagnosis and repair software o Update internal email directory and inventory 
• Kiosk Software Systems o Assist staff with troubleshooting o Diagnose and repair software o Monitor, manage and maintain software systems o Service call with vendor with software changes and configurations o Collect data for reports 
Secondary Functions 
• Attend meetings associated with the IT Department and other projects as assigned by Supervisor. 
• Assist in setting up electronic health records 
• Maintain files/records in compliance with HIPPA, 42 CFR Part 2 and other funding requirements for auditing purposes. 
• Update building site maps and evacuation site plan. 
• Flexible in work hours. Some evenings and weekends may be required. 
• Perform other appropriate responsibilities as assigned by the Division Director. 
• Maintain appropriate boundaries; and adhere to SSG’s Code of Ethics and HOPICS’ Core Values. 
• Represent the Agency in a professional manner at meetings and community events. 
• Must know, understand and be able to articulate the mission, vision, and core values of HOPICS. 
• Regular attendance required. 
Minimum Qualifications - Knowledge, Skills and Abilities Required 
• Minimum three years of experience as a systems or network administrator 
• Completed bachelor’s degree in computer science, or equivalent professional certifications (MS 
Certified Professional/Systems Engineer, Certified Information Systems Security Professional, 
ITIL, Comp TIA Network /Security , Cisco Certified Network Professional) 
• Experience with cloud computing, architecture, and integrations 
• Proven ability to design and implement new processes and facilitate user adoption 
• Strong data management abilities 
• Data analytic and visualization skills, including strong Excel skills 
• Proficiency with Microsoft Office 365. 
• Well-rounded tech skillset, including systems administration, application development and scripting, user support, and cloud implementation and integrations. 
• A documented history of successfully driving projects to completion. 
• A demonstrated ability to understand and articulate complex requirements. 
• Experience with nonprofit processes preferred. 
• If in recovery, a minimum of three (3) years of being drug and alcohol free is MANDATORY. 
• Ability to work with clients from diverse cultural, ethnic, and socio-economic backgrounds. 
• Customer-focused attitude, with high level of professionalism and discretion. 
• Excellent communication skills, oral and written. 
• Excellent organizational skills and attention to detail. 
• Ability to read and follow instructions. 
• Ability to organize, multitask and prioritize workflow appropriately.
• Ability to work independently with minimal supervision as well as being a team member. 
• Valid driver’s license and reliable transportation. Proof of current automobile insurance required. 
• Verification of Employment Eligibility and Background Clearance. 
• TB test required (Not more than (3) months prior to or (7) days after Date of Hire, and renewed annually thereafter), 
• CPR and First Aid Certification required within 30 days of employment. 
Mandatory Covid19 Vaccination Requirement 
• COVID-19 Vaccination Required: All staff is required to be fully COVID-19 vaccinated and to submit vaccination records to the HR Department during new hire orientation.
• Fully COVID-19 vaccinated (2 weeks from last vaccination dose to be considered fully vaccinated) 
• Negative COVID-19 Test: All new staff must provide a negative COVID-19 test. PCR test results can be submitted prior to the first day of employment to recruitment@hopics.org. Rapid antigen tests are also acceptable; however, they will be performed onsite to verify results.

Supervisory Responsibilities: 
This position is responsible for supervising the IT team staff. 
Environmental Conditions (Working Conditions) 
The environment for this position is an office environment. Must be able to work in an environment with many priorities, busy and fast paced. Must be able to problem solve and adapt to changes that are unpredictable. 
Physical Requirements 
The IT Manager typically spends time sitting, standing, typing, thinking, writing, walking, bending, squatting, carrying (max. 60 lbs.), listening, speaking, and driving. 
Mental Requirements 
This position will require the individual to be able to handle any/all the following: constant 
distractions, interruptions, uncontrollable changes in priorities/work schedules be able to process information, think and conceptualize.
