Southwest Veterinary Surgical Service, P.C. is a specialty referral surgical practice whose board-certified surgeons has over eighty years of combined surgical expertise and is dedicated to providing our patients with the highest quality surgical care with an emphasis on pain management and prevention. We are an extension of veterinary practices throughout the communities we serve, working in conjunction with primary care veterinarians to provide comprehensive patient care and exceptional client service.

Job Description:

The Veterinary Receptionist role requires being comfortable in the presence of animals, particularly in sensitive situations, as SVSS is a hospital clinic environment. Individuals in this role must be comfortable dealing with sensitive situations on a daily basis. The Veterinary Receptionist role is the critical first impression of the company. Veterinary Receptionist's role is to deliver exceptional customer service and ensure clients are politely greeted when entering and well satisfied before exiting the hospital. Must have basic computer literacy skills and be able to handle multiple unrelated tasks simultaneously while working in a busy environment.

Key components of the Veterinary Receptionist role includes providing accurate information to inquiries from clients and other members of the team and maintaining a positive and professional relationship with clients and our referring community.

He/she is also in charge of maintaining office and client files; and for scheduling appointments and surgical procedures in the hospital for patients utilizing his/her knowledge of doctor’s availability and activities, and space in the clinic.

General Knowledge and Tasks:

  • Know the range of services the practice provides and the species it treats.
  • Be reasonably familiar with breeds and coat colors.
  • Follow OSHA standards. Be able to find Safety Data Sheets quickly.
  • Know and use standard medical and business abbreviations.
  • Use proper medical terminology when speaking and writing.
  • Be familiar with infectious diseases, including their prevention and steps to reduce or eliminate transmission. Know the most common zoonotic diseases (infections from animals to humans).

Role and Responsibilities:

  • Open the clinic before the arrival of the doctor(s); get the lobby area ready for the day’s work, and close the clinic as directed by the Practice Manager(s)
  • Keep the lobby organized and tidy
  • Welcome clients with their pets to the clinic in a friendly and courteous manner
  • Check-in/out clients for appointments and – discharges
  • Ensure that clients are seated comfortably as they wait to be attended to by the technician
  • Answer incoming calls professionally and route calls to other staff members or businesses in line with SVSS protocols
  • Assist clients in completing appropriate patient forms. When possible, complete ahead of their scheduled appointments for easy access when they arrive
  • Help facilitate patient communication with treatment team to assist with keeping on track to daily schedule
  • Enter/review patients’ records to ensure all records are up to date in computer
  • Promptly notify the technicians of the arrival of patients
  • Scan rDVM records in to patient files
  • Start new patient records
  • Call next day appointments
  • Prepare next day records
  • Cleaning duties -Refer to daily duty task log (Reception equally responsible for completion)
  • Complete client correspondence documents (spell check, obtain surgeon signature, fax)
  • Complete file organization
  • Balance drawer
  • Prepare deposit
  • Ensure staff accurately completes paperwork before patients are discharged from the hospital.
  • Provide basic estimate information
  • Process payments/take deposits
  • Obtain records for new appointments

Requirements

Physical Requirements: Must be able to lift up to 25 pounds without assistance, stand for long periods of time, and bend at waist and knees. Must effectively be able to read, speak, and write in English. Hearing, vision and speech at a functional level are required to meet the essential functions of the job. On occasion patients may bleed, urinate, defecate, vomit, or secrete other glandular fluids on your person, shoes, or uniform.

Working/Environmental Conditions: There is exposure to barking dogs and cleaning chemicals. This is an emotional environment due to death or illness of pets. Position requires flexibility to work from 5:30am - 6pm Monday through Saturday. 

Qualifications:

  • 2 years’ experience in a veterinary, medical, dental, or hospitality setting preferred
  • Demonstrated knowledge of and skill in adaptability, change management, decision making, customer service, interpersonal relations, oral communication, problem solving, systems thinking, teamwork, initiative, and detail-orientation
  • Ability to orient and train as needed
  • Ability to read, write and speak the English language fluently
  • Must be able to work well with team members
  • Passionate about animals
  • Ability to relate with customers in a friendly and professional manner
  • Excellent phone etiquette
  • Proficiency with computers
  • Good temperament to withstand bad behavior from some animals
  • Ability to exercise patience with clients
  • Strong Interpersonal and Communication Skills
  • Exceptional Customer Service Skills
  • Exceptional organizational skills to keep work environment tidy and comfortable, as well as to perform assignments efficiently.
