The Administrative Assistant will execute a variety of duties in a construction office setting. This position will include daily tasks of spreadsheet updating, email correspondence, filing and organizing, and support for management/executives.
Responsibilities
Answer and direct calls.
Reception desk, greet customers and schedule meetings/appointments.
Meeting preparation including but not limited to producing excel spreadsheets, running reports, and any announcements for management.
Maintain filing system.
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies: placing orders.
Book travel arrangements.
Maintain internal data base and manual filing system.
Carry out Administrative duties such as filing, typing, copying binding, scanning and mailing etc.
Schedule any needed building maintenance.
Assist in event preparation for the office or any other Sorella Group events.
Qualifications
Office experience preferred.
Answering multi-line phones.
Ability to handle multiple tasks and time frames.
Excellent time management and ability to prioritize.
Ability to interact effectively with personnel at various levels.
Ability to perform as a self-starter (self-motivated,) with motivation to consistently produce high quality results, and remain a team player.
Good written and verbal communication skills and ability to effectively interact with management, employees, customers and trades professionals.
Strong organizational skills, detail-oriented and the ability to handle multiple priorities and tight deadlines.
Flexibility and willingness to accommodate last minute requests in a fast-paced environment.
Proficient in the use of MS Office (Word, Excel, Outlook), Windows based PC desktop computer applications including PDF and email programs, and use of various office equipment.
