Overview

The Payroll Coordinator supports the employees of Sonny’s LLC, including all affiliated sites, and the Human Resources department by executing payroll processes, maintaining a variety of records and information, ensuring compliance with appropriate regulations and by communicating information in accordance with departmental and company guidelines and standards. The role acts as a point of contact for all payroll related requests and issues. Assists with customized reports for HR management and business leadership and provides functional and technical support related to payroll issues as necessary. 

The goal of this position is to ensure that all payroll functions are completely in accordance with Department of Labor, IRS and other state guidelines, established policies, procedures, and keeping management informed of activities and any significant challenges or issues.

Hours: 8:30am – 5:30pm, additional hours as needed.

Responsibilities

Payroll Activities:

  • Responsible for the preparation and processing of multi state bi-weekly payroll runs including entering time and validating payroll data prior to transmission.
  • Analysis, preparation and entry of all payroll information to produce accurate and timely payroll.
  • Verifies new hires, leave of absence, and terminations in payroll system.
  • Works with managers for timecard accuracy, issues and corrections. Ensures timecard and payroll policies are followed.
  • Trains managers and employees on ADP Time & Attendance processes and policies. 
  • Assists employees with ADP Workforce Now login and password.
  • Process stop payments, direct deposit reversals and direct deposit returns. Distributes manual checks as necessary.
  • Processes new deductions for garnishments, withholdings, liens, loans and other payroll related deductions.
  • Works with benefit team for open enrollments and processes insurance rate changes & deductions in payroll system.
  • Works with benefit team members on FMLA status and benefit repayment plans.
  • Downloads ADP post payroll reporting to appropriate payroll files.
  • Scans payroll back-up to appropriate payroll files.
  • Prepares post payroll reports for management: Labor reporting, OT Summary, Termed employees.
  • Prepares Weekly / Monthly Metrics & Reports: OT Summary, Employee Daily Totals, assist Payroll Specialist with EOM reporting, and additional reports as needed.
  • Responds to employee verifications of employments (VOE).
  • Maintains HRIS job/location codes for employee labor costing.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Cross-trains with HR team and completes projects as assigned.
  • Back-up to front desk receptionist.
  • Other duties as assigned.

Qualifications

Working Conditions: Inside office environment.

Physical Demands: Regularly required to stand or sit and move about the facility.

Education and Formal Training:  High School Diploma

Experience:

  • Knowledge of multi-state, and multi-divisional, payroll.
  • 1 years’ previous experience with HRIS and automated payroll systems for 500 employees.
  • Superior organizational skills, attention to detail, and ability to prioritize and manage multiple tasks.
  • Detail oriented, strong analytical skills, ability to detect inconsistencies in data, and ability to work with minimal supervision.
  • Advanced Microsoft office skills (Excel, Word, and Outlook).
  • Strong knowledge of current payroll related laws and regulations.
  • Knowledge of the entire payroll process including but not limited to processing of: EFT, EFTPS, 940, 941, Sales Tax, W-2s and 1099s, child support, and other wage garnishments.
  • Exposure to a high volume, and multi-task work environment required
  • Bi-lingual is preferred (Spanish/English)
