The incumbent in this position is responsible for booking new small group business as well as on-site management of each group. The Executive Meeting Manager position is responsible for overseeing all small group rooming lists, resumes, contracts, booking re-caps, and maintaining group blocks
1. Answer all initial inquiry calls for small, rooms only, social group business.
2. Book new small social group business consisting of 10-30 rooms.
3. Receive visitors, prepare confidential correspondence, and maintain classified documents and files.
4. Write contracts and proposals to formally document oral agreements and terms.
5. Maintain communication with clients in order to ensure that signed contracts, deposits, rooming lists and any other pertinent information is received and handled in a timely manner.
6. Manage and monitor group bookings to ensure that all group specifications are arranged in a timely manner and coordinated appropriately with other departments to ensure client satisfaction.
7. Responsible for faxing, emailing and mailing of client information.
8. Responsible for all accounting for assigned groups. This includes obtaining and managing timely deposits and payments, billing to clients, refunds, etc.
Requirements include basic reading, writing and math skills. May be required to work nights, weekends, and/or holidays. This job requires ability to perform the following:regularly required to talk , hear and interact with guests, stand and use hands to, type, handle, or feel objects, tools, or controls. Occasionally required to walk, sit, and reach with hands and arms. frequently lift and/or move up to 25 pounds, and stand for long periods of time. Strong computer literacy. Excellent communication and time management skills. Knowledge of hotel computer and telephone systems, proficiency with MS Office
