Sonendo Inc is Hiring a Senior Executive Assistant (CEO) Near Laguna Hills, CA

Responsibilities

Provide administrative support and coordination for the CEO and CFO, and coordinate activities amongst other Sr. Team Executive Assistants as needed. Duties and responsibilities include:

  • Support CEO and CFO with facilitating special projects, planning and scheduling meetings, organizing travel and expenses, and presentation preparation
  • Plans and coordinates calendaring, travel booking, and itineraries for the CEO and CFO
  • Optimizes executive’s time by managing schedule and meetings, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications.
  • Maintains calendar of Corporate events, conducts additional analysis and prepares reports.
  • Organizes receipts and creates expense reports using an online system.
  • Facilitates internal and external visitor meetings including providing necessary preliminary information and ensuring professional interaction at all times.
  • Coordinates Board Meeting schedule, location and related Board travel: Assists with Board Meeting preparations and presentations, including management of sensitive documents
  • Produces reference documents by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Perform related duties as assigned by supervisor
  • Maintain compliance with Quality System procedures and company policies

Qualifications

  • Extensive experience in supporting executive management
  • Event management experience preferred, but not required
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external contacts
  • Excellent computer proficiency (MS Office – Word, Excel, PowerPoint and Outlook)
  • Innovative, entrepreneurial, self-motivated, strategic thinker
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude
  • Ability to anticipate needs, have a sense of urgency, and work independently with limited direction
  • Must operate with a high level of respect for confidentiality and professionalism
  • High school diploma or GED and 5 years of experience required
  • Bachelor’s degree preferred

Physical Requirements

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to lift and carry up to 30 lbs
  • Must be able to talk, listen and speak clearly in person and on the telephone
