Solugenix is assisting a client, a prestigious Non-profit educational organization in their search for a Payroll Administrator. This is a direct-hire opportunity based out of La Mirada, CA (Onsite).

Reporting to the Accounting Manager, the Payroll Administrator is responsible for maintaining the payroll system and partnering with a payroll vendor, establishing controls, maintaining proper documentation, processing semi-monthly and monthly payroll, ensuring all employees are paid accurately according to labor laws, tax rules, approved pay rate changes, and employer offered, and employee selected benefits. The payroll Administrator is responsible for government-required payroll and benefits reporting, including processing accurate W2, 1095, and 1099 statements. The payroll Administrator will participate and support the Human Resource Department during open enrollment and new employee processing. 

Qualifications:

  • Bachelor’s in Accounting, Business Administration, Human Resources, or related field preferred.
  • Minimum of associate degree or comparable education or experience.
  • Two to three years of multi-state payroll experience. 
  • Knowledge of accounting principles and procedures.
  • High attention to detail and accuracy. 
  • Knowledge of MS office applications. 
  • Knowledge of PayChex, ADP, other payroll systems, and QuickBooks or similar accounting software. 

Responsibilities:

Oversee the daily, weekly, and monthly operations of the payroll function including: 

  • Review and ensure timesheet entries are approved and accurate and where necessary communicate with employees and appropriate supervisory to verify or resolve discrepancies. 
  • Review and ensure accuracy of federal, state, and local taxes, social security, unemployment insurance, employee benefit contributions including 403 (b), garnishments, and other deductions from employee paychecks are taken properly. 
  • Analyzes and responds to inquiries from employees regarding paycheck amounts, deductions, vacation and sick leave accruals, insurance benefit accruals, 403 (b) contributions, direct deposit, and other inquiries and concerns.
  • Enters necessary information into the payroll system and maintains ancillary spreadsheets. 
  • Review and process direct deposit information is correct f. process any manual payroll checks. 
  • Control the timely payroll submission and ensure it is properly authorized and documented.
  • Coordinate and work with Human Resources regarding employee information.
  • Coordinate and assist Accounting Manager in monthly, quarterly, and year-end processes involving payroll-related information.
  • Complete monthly reconciliation of payroll accounts and cash disbursements, including insurance, workers' compensation, and related accruals.
  • Assist and support annual financial audits.
  • Oversee government-related or outside tax-related audits m. maintain and complete payroll account reconciliations.
  • Monitoring and analyzing payroll and benefit-related expenses and accruals and providing requested analysis and reports. 
  • Establishing and enforcing proper accounting methods, policies and principles, and internal control processes consistent with GAAP standards. 
  • Establish and maintain fiscal files and records to document transactions. 
  • Meet financial accounting objectives. 
  • Protect Personally Identifiable Information, and other data considered the client Protected Information. 
  • Ability to consider, understand and prioritize security (and privacy, where applicable) principles, practices, and procedures in all aspects of your role with the client. 
  • Take individual responsibility, consideration, and awareness, as appropriate to the position, for the security of the client and CalREN computer systems, the CalREN backbone, the client network equipment, and the client computing accounts; for the security and privacy of the client data and data about the client employees; and the security and privacy of all systems, networks, and data about the client Associates and peers. 
  • Look for opportunities, procedures, and tools to improve the client's privacy and security practices. Report any concerns about the client's security and privacy to your manager, the client Security Team and/or the client's Executive Management. 
  • Work closely with the client Security Team to identify, discuss, and implement software tools and solutions in support of the client’s networks, network security designs, and implementations of network security policies, procedures, and technologies.
