Overview & Responsibilities

Through the combination of marketing and sales efforts, the Move-In Coordinator is responsible for assisting the Director of Community Development to create a welcoming and smooth move in process for prospective residents and their families. With assistance, manage the move in paperwork flow, help residents and families to complete all required paperwork required prior to move in date, distribute paperwork to all departments as necessary and communicate effectively. Maintain a thorough knowledge of the community’s product and services to effectively and accurately represent while working with prospective residents and families. Assist the community development department in development of sales and marketing strategies and action plans as needed.

Collaborate with the Director of Community Development to develop an organized move in paperwork process. Assist prospects in the sales process to complete all required paperwork for a move in which will result in achieving budgeted occupancy targets.

Disseminate, assist to complete, organize, and disseminate paperwork as required.

Receive and/or respond to all incoming calls from prospects in the move in process. Follow-up with the inquiries via effective telephone calls, cards/letters, mailing of marketing information and other means in an effort to meet budgeted occupancy. Enter all available information in marketing database.

Keep referral, mailing list and customer information up-to-date. Identify, build and develop an effective network of community and professional sources for potential resident referrals and establish relationships that assure continuing opportunities for the community.

Accurately represent the community, its services and pricing structure in all interactions.

Monitor condition of all model rooms and respite rooms daily. Ensure that all rooms are ready for tour activity. In conjunction with General Manager, furnish, decorate and appoint model and respite rooms.

Conduct morning walk-through of community to ensure readiness for community tours. Ensure all common areas needing attention are addressed at the beginning of each day, prior to any tour activity.

Assist with collection of data for the marketing report weekly.

Ensure lead database is up-to-date and accurate. Complete input of all required information (leads and activity) timely and accurately.

Assist with the processing of all required information necessary to complete a successful move-in, as requested.

Assist with the completion of a Competitive Market Analysis at least twice a year or as directed to do so by the Director of Community Development and/or Executive Director.

Participate in daily “Stand-Up” meetings to communicate key issues within the department, if requested by General Manager.

Perform day-to-day clerical work connected with the position.

Ensure knowledge base remains current regarding aging, assisted living and dementia-specific care through continuing education.

Assist with the setting-up and tearing down of special events. Encourage teamwork through cooperative interactions with co-workers and other departments.

Support a positive and professional image through communication, actions and attire.

Maintain a safe and secure environment for all team members, residents and guests, following established safety standards.

Perform other duties consistent with position as assigned by the Executive Director.

Qualifications

  • Associate’s degree in communications, public relations, marketing, related field, or equivalent experience preferred.
  • Minimum of one year experience working in long-term care industry, preferred. Possess some knowledge of health care terminology.
  • Ability to effectively interact with residents, families, team members
  • Displays sincere compassion towards older adults. Demonstrates genuine concern for the physical and emotional needs of older people and their families. 
  • Required to participate in Covid-19 testing as requested by administration, ownership or the State Regulatory Agencies.
  • Required to receive or provide documentation of the Covid-19 Vaccine, excluding religious or medical exemptions.
  • Required to receive the annual Flu vaccine, excluding religious or medical exemptions.
