Smith Engineering is Hiring a Project Coordinator Near New York, NY

Smith Engineering is a leading engineering firm dedicated to helping our customers reduce energy at their facilities. Our projects focus on the building systems from automation and control to steam, and chilled water for HVAC. 

There are 3 main teams in our business: 

  • Energy Engineering 

  • Design Engineering 

  • Building Automation 

Our projects are typically designed as optimization projects that include the implementation of instrumentation, replacement of chillers, pumps, piping, cooling towers, and implementation of a new building control system to save energy and operate more efficiently and sustainably. 

The role:

Project Coordinator for Smith Engineering is about communications and coordination. This position is about enabling the success of our organization. While you may not be an engineer drawing the next generation plant or figuring out how to save them millions of dollars in energy you are helping these engineers stay on budget and stay on schedule and ensuring our customers’ success. 

Your role is not passive, but demanding to make sure we have the information to manage our business and provide quality customer delivery. 

You:

  • Must have two to three to five years of project administration or project coordination experience with an engineering firm. 

  • You are excellent at developing reports and presentations and have a focus on attention to detail. 

  • Must have a clear understanding of project execution and time and task tracking. 

  • The office is hybrid (remote and office) but to coordination requirements you will be expected to be in the office on a regular basis and must be within a reasonable commuting distance. 

  • Be able to hold people accountable to provide to information necessary to report status and tracking of our resources and projects.

What you’ll do:

  • Prepare the first draft of internal and external project kick-off meetings presentations and meeting minutes. 

  • Attend project kick-off meetings and help update the kick-off deck based on meeting discussions. 

  • Quality control for the project management tracking system including project set-up to ongoing time and data entry 

  • Project task tracking to ensure deadlines and budgets are met 

  • Attend project and team meetings 

  • Coordinate customer meetings and site visits 

  • Coordinate Travel

  • Track and manager group certifications 

  • Field Equipment tracking, shipping and coordination 

  • Manage submittal log and prepare submittal coversheets 

  • Assist with DOB Filing 

What you’ll need to be successful:

  • College Degree and 2 to 3 years of work experience as a Project Administrative/Coordinator at an engineering firm; OR 

  • High School Diploma and 3 to 5 years of work experience as a Project Administrative/Coordinator at an engineering firm. 

  • Familiarity with similar buildings and facility projects 

  • Demonstrate strong troubleshooting and problem-solving skills Skills with relevant software, including but not limited to Microsoft Office Suite and Project Management software 

  • Excellent project planning, organizational, verbal, and written skills

Salary:

$50,000 - $75,000 per year. The salary range listed is for this job posting.
