SMART Reading is Hiring an Accounting Manager Near Oregon, OR

Position SummaryThe Accounting Manager provides full financial support and ensures the smooth operation of all of SMART Reading’s day-to-day accounting activities. In addition to being SMART’s primary bookkeeper, the Accounting Manager will assist with budgeting, financial reporting, grant reporting, annual reporting, and general support to departments. 

PRIMARY RESPONSIBILITIES 

Accounts Payable and Vendor Management

  • Ensure timely processing and payment of all invoices and financial obligations
  • Enter all transactions into the accounting system
  • Maintain all accounts payable documentation
  • Monthly reconciliation of payables
  • Maintain vendor files and ensure appropriate vendor records and documentation is on hand

Accounts Receivable

  • Process deposits upon arrival
  • Enter transactions into the accounting system, including any accompanying restrictions or restriction releases
  • Maintain all accounts receivable documentation
  • Monthly reconciliation of receivables in partnership with Gift Processing
  • Area and leadership team bank debit and credit card reconciliations

Transactions and Documentation

  • Ensure all organizational transactions are entered into the accounting system each month
  • Maintain meticulous records for all accounting transactions in accordance to the document retention policy

Financial Reporting

  • Conduct all month-end closing processes, journal entries, restrictions and restriction releases, and account reconciliations
  • Create a suite of month-end and year-end financial reports for the organization’s management, the Board of Directors, and departments
  • Attend periodic Board and Board Finance Committee meetings to assist the Executive Director in financial reporting
  • Create grant reports for funders as needed
  • Create ad-hoc reports as needed
  • Work with Development Director to monitor monthly cash flow and determine if line of credit/money transfer is needed.

Payroll & Benefits Accounting

  • Enter payroll journal entries into the accounting system
  • Enter employee benefit transactions into the accounting system and perform periodic reconciliations of employee benefit account

Budgeting

  • Assist the Executive Director with the annual budget process as needed
  • Enter and maintain the budget in the accounting system

Annual Audit, federal and state reporting

  • Work with CPA to conduct the annual audit process and to provide all information and documentation needed to. create the annual 990 and CT-12 reports
  • Complete the annual preparation of 1099 and 1096 reports and maintain accurate vendor files throughout the year

General Support

  • Assist with the day-to-day office management needs
  • Assist with mailing production, including mail merge, printing, collating, and posting
  • Assist with day-of-event logistics and support in-person events
  • Support general administrative tasks for all departments as needed

REQUIREMENTS: 

  • Working familiarity with Generally Accepted Accounting Principles
  • Demonstrated experience in financial and organizational management in the non-profit sector
  • Demonstrated experience using a financial database (software); prior experience with Netsuite accounting software is a bonus
  • Strong attention to detail and accuracy and ability to maintain accurate records and necessary paperwork
  • Progressive experience as it relates to the requirement for independent action and initiative and the ability to prioritize
  • Ability to work well both independently and as part of a team
  • Comfortable both taking the lead on a project and accepting direction
  • Creative, curious, and innovative thinker who is able to think outside the box.
  • Exceptional written and verbal skills
  • Excellent computer skills, with emphasis on spreadsheet preparation in Excel and Google Sheets and general knowledge of Microsoft and Google Suite applications
  • Ability to be flexible and adapt to changes in the environment
  • Ability to travel to other parts of the state for work purposes on occasion

EDUCATION AND WORK EXPERIENCE

  • Bachelor’s degree in Accounting or equivalent
  • Five or more years of experience in Full Cycle Bookkeeping
  • Payroll experience preferred

Compensation Salary starts at $63,000 annually with full benefits depending on experience. In addition, the location of residence with a higher cost of living will be taken into salary consideration.

This is a full-time position. SMART offers a generous benefits package: Employer-paid Health, Dental, Vision, Life, and LTD. One week paid during July and December for annual office closure, plus four weeks of paid time off, and 9 Floating paid holidays totaling more than 7 weeks paid annually.
