As the Payroll & Benefits Administrator, you will:

  • Be responsibe for employee payroll processing, review, and recordkeeping, in adherance with best practices and state and federal laws
  • Address and respond to employee and manager questions related to payroll administration and timekeeping; providing requested forms and reviewing returned documentation for accuracy
  • Update employee records within the HRIS, ensuring accurate entry of data and appropriate backup documentation for all changes
  • Import timecard records to payroll system, reviewing for completeness and accuracy; being sure to follow-up with supervisors regarding potential discrepancies (missing punches, missing PTO, etc.)
  • Respond to National Medical Support Notices, Incoming Withholding Orders, and verifications of employment (VOE)
  • Handle administrative functions of payroll-related taxes and unemployment rate updates, working with UIA and our payroll provider to remedy any issues
  • Build and run internal reports from payroll system, as requested by Human Resources
  • Assist with new hire onboarding into HRIS and time clock, verifying accuracy of information, including: pay rate, manager assingments, employee eductions, vacation accruals, tax information, and direct deposit
  • Compile and review data for annual reporting and audit requirements, including: 401k annual compliance testing, 401(k) audit, annual business audit, Workers Compensation audit, ACA reporting, EEO, and Vets 4212
  • Balance payroll accounts by resolving payroll discrepancies
  • Conduct monthly benefit invoice reconciliation, addressing any discrepancies that may arise
  • Monitor and periodically audit employee vacation accrual balances and 401k contribution rates
  • Compile and upload employee contribution reports to designated vendors for Health Savings Accounts and 401k, ensuring accuracy of data prior to submision
  • Ensure payroll and benefit work instructions are maintained and updated, as needed
  • Keep apprised of federal and state compliance related to payroll records, wage and hour, deductions, ACA, etc.
  • Assist in COBRA administration, monitoring reports to ensure required notices are generated and sent in compliance with COBRA requirements
  • Assist in execution of annual benefit open enrollment, including build-out of the Open Enrollment Wizard within the HRIS. Audit open enrollment data prior to submission to carriers
  • Ensure employee documentation and forms are accurately and timely placed in appriropate personnel records
  • Reconcile and distribute employee W-2s and other required, payroll-related notices
  • Keep apprised of HRIS system updates and product offerings, alerting the HR team of important system updates, alerts, and useful tools
  • Recommend and implement payroll and benefit aministration best practices, looking for ways to streamline processes and maintain compliance with applicable laws and regulations
  • Assist in other HR-related tasks, as requsted by the Director of Human Resources

For success in this role, you will:

  • Maintain strict confidentiality regarding employee data, possessing a high level of integrity and discretion
  • Capably handle required administrative, recordkeeping, and reporting functions, adhering to best practices and state and federal law
  • Verify work to ensure accurate results, requiring minimal rework
  • Be internally motivated and work well with minimal supervision
  • Listen to others, expressing ideas, both orally and in writing
  • Give customer needs priority, responding quickly to concerns and demonstrating a desire to assist others
  • Possess a Bachelor's degree in Human Resource Management or Finance or equivalent combination of education and experience
  • Have 2 or more years of experience in payroll, benefits and systems administration
  • Be knowledgeable of current laws and regulations related to payroll and benefits administration
  • Be proficient in Microsoft Office programs, including: Word, Outlook, PowerPoint and Excel.
