JOB SUMMARY:

The Practice Manager partners with clinician leaders, administrative leadership team, billing team and various support departments to create a practice environment and system operations to drive quality service toward key indicators of patient satisfaction, provider satisfaction as well as financial goals and revenue cycle management. This includes developing and managing systems to increase efficiency and effectiveness in access to care, care coordination, meaningful systems engagement (EMR, telehealth and patient engagement platforms and otherwise), patient engagement, employee engagement, quality of care, and other initiatives as identified by the department leadership and administrative leadership team.

ESSENTIAL FUNCTIONS: (Essential functions are the basic job duties that an employee must be

able to perform, with or without reasonable accommodation.)

  • Oversees the daily operations of the practice in collaboration with the clinician leaders to include:
    • Effective and efficient in scheduling and registration of patients,
    • Develop and manage effective patient scheduling and administrative workflows/processes from patient referral to discharge across EMRs/relevant platforms
    • System management to effectively capture of clinical/patient engagement information in the EMR
  • Collaboration with Billing Department to ensure insurance verification, pre-authorization and proper coding and charging of services rendered, collection of co-pays and co-insurance
  • Effectively supervises, manages and directs clinic operations team to include medical records staff, PSR scheduling across all clinical providers and front desk/reception
  • Ensures that practice operations and team members are knowledgeable of and in compliance with applicable regulatory, licensing and accrediting agency standards and applicable state and federal laws, as well as policies and procedures as defined by the System.
  • Promotes effective communication dialogue and problem solving with providers and staff through daily huddles, regularly scheduled staff meetings, or other means as needed.
  • Analyzes data and reviews data with clinician leaders to continually enhance performance, positively effecting clinical outcomes, patient satisfaction, and employee satisfaction.
  • An expert user and effectively directs and trains others in the use of EMR and other engagement platforms. Engages with platform developers to resolve issues as they arise. Effectively implements and monitors utilization of the tool(s) for improved engagement, outcomes, and management practices. Achieves identified goals related to Appropriate Care Measures of Quality and Meaningful Use of the EMR.
  • Manages practice by improving utilization of resources, and maintaining practice efficiency while seeking to minimize operational costs.
  • Assigns/delegates duties and determines staff work schedules based on competencies of available staff and patient/practice needs.
  • Models excellence in customer service and team collaboration. Effectively communicates and collaborates with all SCI staff.
  • Promotes the financial viability and accomplishment of financial goals of the practice by effectively managing scheduling of patients, purchasing of materials/supplies, collections and budget processes, including proactive cost containment activities.
  • Works with team members on mutual goal setting, providing regular performance feedback and evaluation.
  • Assist with any relevant QI projects including but not limited to management of patient satisfaction data, attendance/schedule monitoring, compliance/audits, communication with referring providers, treatment outcome data and other relevant KPIs.

Requirements

QUALIFICATIONS

Bachelor's degree in business administration, healthcare administration or related field OR a combination of some college and healthcare practice management experience. Must possess a minimum of 3 years of experience in healthcare management.

JOB REQUIREMENTS:

· Experience in managing others and the ability to provide leadership, direction/delegation and effective oversight/feedback to patient-facing staff who manage patient workflows and are key communicators with referring providers, patients and other community partners.

· Ability to develop, implement, monitor and make necessary adjustments to ensure effectiveness of policies and procedures in a fast-paced environment; ability to adapt to changes and new challenges as they arise.

· Strong financial, analytical and statistical skills

· Self-directed; works independently with minimal supervision

· Excellent computer skills including Microsoft office and advanced knowledge of practice management system (Super User) and experience with various EMRs

· Excellent attention to detail and follow through

· Excellent verbal and written communication skills

· Embraces a family-centered approach and excellence customer service

· Effective collaborator and communicator

· Knowledge of all regulatory requirements including but not limited to HIPAA and Security Rule

Requirements

· Ability to work collaboratively with operations and clinical leaders to achieve Peds Center goals and objectives

· Demonstrate knowledge of payor and hospital credentialing
