Position Title: Department: Clinic Support Services

Supervisor: Job Description Date: July 2019

Position Summary:

Greet patients and visitors. Check patients into the clinic and prepare necessary tasks for patient to be seen by the provider. Make and schedule patient appointments in an efficient and timely manner.

Qualifications:

1. Education: High School Diploma or equivalent

2. Licensure: Non-applicable

3. Experience: Prior medical clinic or hospital experience desired.

GENERAL JOB RESPONSIBILITIES:

1. Quantity/Quality/Productivity: Complete a significant volume of work accurately, thoroughly and in an acceptable manner. Produce valuable work and able to function with little supervision.

2. Knowledge/Judgment: Effectively demonstrate detailed knowledge of job duties on a daily basis.

8. Communication: Use good oral and written communication methods appropriate to professional relationships, actively listening, writing clear and accurately. Use good customer service skills at all times.

Give and receive positive and constructive feedback. Provide other co-workers with status information and bring co-workers into the loop. Use a non-blaming cooperative communication approach.

9. Flexibility: Effectively react and adapt to difficult, changing or emergency situations with little or no disruption in production or performance. Apply the principles of the exposure plan, standard precautions, needle and sharp safety, personal protective equipment, reporting exposures and management of medical waste.

13. Confidentiality: Promote and protect the confidential nature of ALL patient, employee and facility information. Function within policies and procedures of the program to include ethical, legal, and regulatory requirements. Demonstrate knowledge of appropriate reporting mechanisms for activities that may fall out of compliance.

14. Teamwork: Allow other individuals of the team to express themselves freely without interruption. Value the team success over individual success. Be respectful of others.

15. Leadership: Reflect the vision and values of the Foundation in all actions. Motivate, inspire and lead others. Set a positive example for others, create enthusiasm and excitement, and provide honest feedback and recognition to others.

SPECIFIC JOB FUNCTIONS, TASKS, AND DUTIES:

1. Greets patients and visitors in a prompt, courteous, and helpful manner.
2. Check patients in and out of the clinic using good customer service skills in a correct and timely manner. Verify and update necessary information in the medical record and computer system. Ask to see patient insurance card, scan card if necessary, confirm patient current address and phone number, and obtain necessary information.

3. Schedules/Cancels patient appointment following policy and procedure.

4. Get appropriate forms signed in a correct and timely manner.
5. Answers the phone promptly and efficiently. Screen calls, take messages, page various staff members as necessary and provide information promptly and efficiently. Respond to routine requests for information.

6. Complete encounter sheets and collect payment according to policy and procedures. Ensure the patient signs the encounter sheet and ensure sheets are complete and accurate.

7. Balance cash drawers and reconcile daily cash, prepare daily batches and deposit slips correctly and in a timely manner.

8. Document new patient information.
9. Clerical support for nurses, clinic.
10. Able to navigate the EMR/PM computer system efficiently and correctly.
11. Keeps supervisor informed of reception issues and concerns.
12. Upon arrival in the morning, prepare the clinic for daily activities. Keeps work area clean and neat as well as lobby area.

13. Check patients in and out of the clinic using good customer service skills in a correct and timely manner.
Verify and update necessary information in the medical record and computer system. Ask to see patient insurance car, scan card if necessary, confirm patient current address and phone number and obtain necessary information.

14. Schedules/Cancels patient appointment following policy and procedures.

15. Complete encounter sheets and collect payment according to policy and procedures. Ensure the patient signs the encounter sheet and ensure sheets are complete and accurate.

16. Balance cash drawers and reconcile daily cash, prepare daily batches and deposit slips correctly and in a timely manner.

17. Work additional hours as needed.

18. Attend meetings as required.

19. Other duties as required.
