Description

A mid-size Chicago law firm is seeking a Human Resources Coordinator to join our team. This is a highly responsible and rewarding full-time position that offers a competitive salary and outstanding benefits. Job Description:

This position reports directly to the Director of Human Resources by facilitating benefits administration, HRIS software management, recruiting, and on-boarding/off-boarding for all SST business locations. In addition, this position assists with miscellaneous projects, payroll processing and keeping accurate employee records and HRIS maintenance.

This position carries out responsibilities in the following functional areas: benefits administration, employee relations, training, onboarding, policy implementation, recruitment/employment, affirmative action, and employment law compliance.

Requirements

  • Bachelor’s Degree
  • Minimum of 3 years Human Resources Experience 
  • Law firm experience
  • Knowledge of human resources processes and best practices
  • Experience with HR databases and HRIS systems (e.g. Paylocity)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Proficiency in Adobe Acrobat

Primary Responsibilities:

  • Ensure prompt completion of the on-boarding activities for positions at all firm locations. Responsibilities include tracking onboarding paperwork, initiating background checks and candidate screening, creating offer letters, entering new hire data into the HRIS and internal database, and communication/coordination with appropriate internal executives as needed.
  • Handle firm’s recruiting needs including maintaining job descriptions and postings, scheduling and conducting phone interviews and in-person interviews, and scheduling attorney interviews for all offices. 
  • Firm benefits administration and maintenance for all firm’s benefits including annual open enrollment. 
  • Extensive knowledge of Employee Handbook and all firm policies.
  • Verifies timely completion of I-9s and storing all employee files properly.
  • Ensuring all databases are updated to reflect current employee information (i.e., addresses, direct deposit, etc.).
  • Respond to and coordinating requests for information including unemployment claims and verifications of employment.
  • Assist with payroll processing specifically time cards and PTO reconciliation. 
  • Ensure prompt distribution of live pay statements after payroll processing.
  • Create and maintain all employee personnel file and e-file folders.
  • Handle administrative duties relating to all aspects of Human Resource functions.
  • Process all terminations including creating termination letters, updating payroll/HRIS system and internal database, and communication/coordination with appropriate internal executives as needed.
