Position Description
POSITION TITLE: Administrative Assistant – High School
FLSA: Non-Exempt
REPORTS TO: Building Principal
TERMS OF EMPLOYMENT: 210 days with benefits and specified in the Classified Agreement.
QUALIFICATIONS:
High school diploma.
Additional preparation and/or college work related to educational office training preferred.
Strong computer skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Use of 10-key calculator by touch; accuracy with numbers.
Highly motivated with strong organizational skills; able to coordinate multiple tasks at one time.
Ability to lift 30 pounds to shoulder height occasionally.
ESSENTIAL JOB FUNCTIONS:
Prepare items for teacher orientation and teacher handbook.
Monitor copy and fax machines. Place service calls as necessary.
Prepare parent newsletter and appropriate bulk mail postage.
Assist with parent contact
Monitor and track leave requests for employees.
Type principal’s correspondence, reports, process evaluations, do general filing and typing.
Process all building work orders.
Keep track of all leaves and direct leaves request forms from all employees.
Maintain principal’s appointment calendar.
Coordinate academic awards ceremonies.
Submit building use requests for faculty meetings and events such as open house, academic awards, and parent teacher conferences.
OTHER JOB FUNCTIONS:
Open and sort mail.
Prepare classified pay cards.
Assist with telephone answering and greeting the public.
Prepare and distribute teacher handbook.
Prepare items from principal for teachers’ orientation.
Prepare information and assist with student enrollment.
Assist with all graduation activities.
Order supplies and paper for office.
Make necessary travel arrangements for principal or principal’s designee.
Compile and distribute phone tree, maintain building directory.
Process teachers for checkout at the end of the school year.
Prepare the student/parent handbook for printing.
