SERVPRO - Supreme Restoration is Hiring an Office Manager Near Darien, CT

Servpro of Darien/New Canaan is seeking to fill an experienced Office Manager. This position supports the Vice President of Branch Operations as well as supporting the branch. Our ideal candidate must have proven experience overseeing the scheduling for a service industry, experience in creating and sending out invoices using Quickbooks Online for jobs, be able to communicate with management staff regarding updates on jobs, and the ability to administratively oversee the status of our service until the job that we are performing is completed.
This position requires Intermediate Microsoft Office Suite proficiency specifically in Microsoft Word, Excel and Power Point. The creation of pivot tables and familiarity with using them is a requirement for the role as well as the ability to create reports and presentations when needed. Primary Responsibilities
  • Manage Receptionist-Dispatcher, Job File Coordinator
  • Provide administrative support to the Vice President of Branch Operations
  • Schedule oversight for the franchise
  • Coordinate and maintain company calendar and franchise communication
  • Manage accounts payable, accounts receivable, and cash management
  • Prepare reports and presentations
  • Create and use pivot tables in excel for reporting purposes
  • Verify and analyze financial reports and divisional key measurements
  • Monitor compliance and risk management
  • Serve as a On Call Manager in alignment with the franchises on call rotation
Qualifications:
  • 5 year(s) of office, accounting, or customer service management experience
  • Experience in building a strong team with tangible leadership skills
  • Solid organization and planning capabilities, strong attention to detail
  • Demonstrated history of ability and growth in managing an office environment
  • Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times
  • Very self-motivated and goal-oriented with ability to multitask
  • Capability to work in a fast-paced, team-oriented office environment
  • Intermediate Proficiency in Microsoft Office (i.e., Outlook, Word, Excel), Google Docs and QuickBooks Online
  • Ability to learn new software, such as Xactimate estimating software
  • Prior experience working in a 24/7 service industry environment, a plus
  • Ability to successfully complete a background check subject to applicable law
