Seminole County Board of County Commissioners is Hiring an Executive Assistant Near Sanford, FL

The Executive Assistant to an elected County Commissioner provides high-level administrative support and district coordination to the official. The Executive Assistant serves as the conduit between the Commissioner and constituents of a district, and other governmental officials, staff, media, and business representatives. 

**Salary will be determined depending on qualifications of candidates who exceed the minimum requirements as outlined within the job description.

Using self-motivation and independent judgment, tasks performed include maintaining the Commissioner's schedule, setting meetings, reviewing all incoming e-mails and regular mail, taking proper steps to resolve inquiries or issues, and keeping the Commissioner advised in a timely manner of important matters. The Executive Assistant is the responsible party for the proper functioning and operation of a District office. 

Researches topics in connection with requests or issues. Determines best options for resolution of request or issues and discusses findings with Commissioner to assure proper disposition of request or issue. Composes correspondence in reply to inquiries. 

Coordinates, communicates, and tracks all projects and tasks related to District Office.

Receives, reviews and handles telephone calls, e-mails and regular mail, in-person inquiries, working with the County Manager or Department Director for technical input if necessary. May route as required. Inquiries consist mostly of complaints and/or informational requests which are inherent to the district and are varied in nature. Works to resolve issues until matter is satisfactorily completed which may include follow-up with staff or other agencies. 

Plans, coordinates, and schedules District meetings. Attends in-house or community meetings with or as a representative of the Commissioner. Takes and transcribes minutes from meetings as required. Assures any necessary follow-up; relays directives or information to appropriate parties. 

Serves as coordinator for a District office. Supervises the flow of communications, composes and types correspondence, reports and other written documentation as necessary. Assures resolution to tasks through follow-up and relays information to appropriate parties. Assures working documents are current. 

Works with Commissioners and other appropriate parties to process official documents, obtains appropriate signatures for these documents. Assures documents are processed in accordance with mandated deadlines. Processes all legal documents as required. 

Identifies process improvements that are value added for internal and external customers. 

Creates, publishes, and distributes District newsletter. Maintains distribution list. 

Compiles and administers the database of appointees on various Seminole County Boards and Committees. Ensures all necessary paperwork is submitted in a timely manner following State and Federal guidelines. 

Additional Duties:

In the event of an emergency, all employees are considered essential personnel and may be required to perform alternate duties.

Performs other duties as assigned. 

High School Diploma or GED and six (6) years progressively more responsible administrative support experience, to include experience with personal computers and extensive public contact work.

A comparable amount of education, training, or experience may be substituted for the minimum qualifications.

Ability to maintain confidential information.

Ability to assume delegated responsibility for communication directives and follow-up in an expeditious and effective manner. 

Ability to work independently and effectively with the general public on a variety of complex issues.

Ability to meet with and maintain effective working relationships with County Departments and Divisions, or other agencies or offices and the general public.

This position serves as public liaison for the County Commissioner with constituents and other agencies concerning the County’s operations and programs and, therefore, must possess excellent communication skills, both written and oral, as well as be competent in public speaking.

Must have exceptional organizational and follow-through skills.

Considerable knowledge of County policies and procedures, applicable Florida Statutes, and County ordinances and resolutions. Knowledge of Business English, spelling, punctuation, mathematics, modern office practices and procedures, including public records management.

Intermediate knowledge of Microsoft Office suite of products including Word, Outlook, PowerPoint, Excel, SharePoint; use of other software products may be required.

May be required to maintain a valid Florida Driver’s License.

All employees must attend Seminole County Required Trainings.

Department Specific trainings per position may be required.
